Job Description : Ad,imistrative SupportSummary of Position: This position maintains and supports all office functions, ensuring facility paper flow and documentation is complete and accurate.This document is designed to provide a general overview of the requirements of the position and does not entail a comprehensive list of all activities, duties, or responsibilities that will be required for this position. In addition, these activities, duties, or responsibilities may change and will be periodically updated.Essential Functions, Duties, and Tasks: Provide office administrative support to operations and facilities teamMaintain office supply inventory and orders as neededCreate, distribute, and collect at termination associate badgesInvoice customer for manual services and follow up when invoices are unpaid/overdueProcess claims (such as entering damages in VIPS for tracking, investigate claims and present to Terminal Manager, enter result into claims system)Scan and store Rail Load Bills of Lading – check VIPS to ensure has been processed properlyIdentify, assign, and notify carriers of the loads daily (items pulled to dock for trucking, in combination with an electronic file send additional info several times a day)Correspond and communicate with trucking company’s when necessaryResponsible for emailing inbound inspection reports to carriersResponding to GM request to prioritize units by identifying the units in the yard inventory and moving the inventory forwardMonitor VIN services to ensure revenue recognition equals billable items through VIPS and CORS via exception reporting in CORS (Deferred/Accrued Shipped report in CORS)Monitor autopay service exception reports 1) for services paid but not installed and 2) services installed but not paidOther Data Entry Functions within VIPS/VTIMS: Inbound rail – print travellers from VTIMSRun the VVO023 screen to generate an inventory count from VTIMS (this screen displays the inventory level per GM, compare this VIPS inventory for relative accuracy)Print travellers when needed (e.g., if vehicles are diverted print new paperwork to place in the vehicle). Provide to Operations Supervisor to place in the vehicleEnsure road loads have all been shipped in VIPS so it can update VTIMS (Trucking company should be updating VTIMS, but we should ensure our inventory has been relieved, ensure the Releasing service has been installed)Expedite the processing of special vehicle shipment requests by the customerChange from voucher to manual services for customer billing as necessaryRespond to telephone, email and in-person inquiries from customers regarding the billing of vehicles and mutually resolve any discrepancies that are identifiedAccountable for identifying vehicles that require labeling and access the customer printing system to print labelsVerifying that outbound loads are shipped correctlyCheck and store Truck-away SheetsComplete fuel reconciliation – tracking usageMonitor embargoed routes and update VIN counts on daily reports via VIPSBackup to the HR/Payroll Coordinator (e.g., payroll processing, time keeping, daily wage to revenue (W2R) reporting)Assist in covering the Dispatcher in their absenceMaintain a safe, clean, and organized working environment, including tooling, work vans, yard, etc.Understand and adhere to AWCC policies, including but not limited to company safety policiesNotify supervisor of any workplace hazards or unsafe conditionComplete all other duties as assigned by managementKnowledge, Skills, and Abilities Required: Ability to work with moderate supervisionAbility to work with a high level of attention to detailAbility to keep confidential any work documents seen, or conversations heard during performance of job dutiesAbility to adhere to strict quality standards without varianceAbility to interact with others effectivelyAbility to effectively communicate both verbally and in writingEducation, Experience, and Minimum Requirements: High school diploma or equivalent, post secondary education preferredIntermediate to advanced level of proficiency with MS Word, Excel and e-mail required; ability to learn and adapt to new computer systems and software programsSuccessful credit check is requiredAccommodations will be provided throughout the recruitment, hiring and employment process in accordance with the Accessibility for Ontarians with Disabilities Act_ (AODA) and the Ontario Human Rights Code.
