Job Description : Located in Toronto, 365 iT Solutions is a full-service IT solutions provider with 19 years of experience serving clients in a wide array of industries. Currently with 100+ clients and a staff of approximately 18 employees, 365 it Solutions is looking for a high-energy, hands-on Administrative Assistant to join their growing team.This new position will work closely with the owner and team to maintain the overall flow of workplace operations while being the central point of contact for clients and employees alike.Responsibilities: Greet and welcome visitors as soon as they arrive at the officeDirect visitors to the appropriate person/officeScreen, answer, assess and forward incoming phone callsAssist with QuickBooks entriesConduct client check-in calls to determine if they need anything and to follow up on quotesProvide timely and consistent front line customer service to clients, suppliers and management teamAssist the Project Manager with daily projects that includes reporting, invoicing and auditingEnsure the office area is tidy and presentable, with all necessary suppliesProvide basic and accurate information in-person and via phone/emailReceive, sort, and distribute daily mail/deliveriesOrder front office supplies and keep an inventory of stockUpdate calendars and schedule meetingsArrange travel and accommodations, and prepare vouchersKeep updated records of office expenses and costsPerform other clerical receptionist duties such as filing, photocopying, transcribing, and faxingSkills & Experience: Proven work experience, or similar roleProficiency in Microsoft Office SuiteProficiency in QuickBooksHands-on experience with office equipment (e.g., fax machines and printers)Professional attitude and appearanceSolid written and verbal communication skillsAbility to be resourceful and proactive when issues arise; self starterExcellent organizational skillsMultitasking and time-management skills, with the ability to prioritize tasksCustomer service attitudeA high school degree: additional certification in Office Management is a plusExperience with IT Glue, Datto RMM, ConnectWise would be an assetHigh degree of self-accountabilityTactful and diplomatic with sound judgement and discretionEfficient, demonstrates a positive attitude and grace under pressureProactive and confident with a polished and professional styleThrives in a fast-paced environment with competing prioritiesWhat we an offer you: Opportunity to provide administrative support in an innovative, entrepreneurial environmentA dynamic, collaborative, diverse and inclusive employer that is well-established in its industryCompetitive compensation package including comprehensive benefits and bonus programWe are committed to equity in employment and our goal is to have a diverse, inclusive, and barrier-free workplace.
