We are looking for a responsible and experienced Administrative Assistant to perform a wide variety of administrative, organizational and clerical tasks. This position has room for growth. Duties of the Administrative Assistant include providing support to our health professionals and owners, assisting in daily office needs and managing our company’s general administrative activities. Other responsibilities include coordinating travel and meeting arrangements for out of state patients and clients, preparing reports and maintaining appropriate filing systems. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like MS Suite and office equipment. It is helpful if you have previous experience in any of the following: working within in the hospitality and hotel industry in management or Front Desk support, administrative assistant, Executive administrative assistant, working within a plastic surgeon setting or orthodontic or dental setting, naturopathic care, natural medicine or integrative healthcare or a chiropractic setting. The most important experience is administrative work and a excellent attention to detail. A self-starter with a high level of intelligence and a quick learner with the ability to think fast on your feet. If you have any of this experience in any industry we’d like to meet you. Ultimately, a successful Admin Assistant should ensure the efficient and smooth day-to-day operations of our office with superior customer service.
Responsibilities
Answer and track communications (calls, emails, faxes, snail mail, etc.)
Organize and schedule appointments
Prepare invoices for patient care, programs, products and services, collect all fees and perform minor posting and accounting of payments
Write and distribute emailed correspondence, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Maintain and update a filing system
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact lists
Coordinate travel arrangements
Provide a high level of customer service and hospitality to patients and clients
Coordinate all areas of patient care and communication as the point of contact for on-site as well as virtual patients and clients
Skills
Minimum 5 years proven experience as an administrative assistant
Experience enrolling clients or patients into programs of any kind, and following through and collecting up to tens of thousands of dollars for customized programs. Commission and bonusing for this support is available after training
Knowledge of office management systems and procedures
Working knowledge of office equipment, like scanners, printers and fax machines
Proficiency in MS Office Suite
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
College degree preferred
