Job Description : Perch Real Estate is looking for a highly motivated and energetic Administrative Assistant to perform a variety of administrative and clerical tasks. We’re a boutique, family-owned real estate company located in Lakewood, Colorado. Duties of the Administrative Assistant include: providing support to the owners with their real estate transactions, providing support to our agents with their real estate transactions on an as needed basis, assisting in daily office needs and managing our company’s general administrative activities (ensuring the office is neat, organized, supplies are stocked, mail is sent and received, etc.), scheduling meetings/appointments on behalf of owners calendar, responding to emails on behalf of owners as needed, responding to client inquires by phone, email, and text, preparing reports, maintaining online filing systems, tracking goals, organizing documents for transactions ensuring deadlines are met throughout the transaction process as needed, communicating with tenants and scheduling repair work as needed, creating reports and timelines for projects, scheduling/planning two events throughout the year.
The ideal candidate should have high energy and have excellent oral and written communication skills and be able to organize their work using tools, like MS Office, Asana, Follow Up Boss, CTM and more. Ability to juggle multiple tasks is a must as the real estate business moves incredibly quick and your days change frequently. No two days are the same. Ability to be self motivated and a self starter — working on your own at times is incredibly important. If you have previous experience as an Administrative Assistant, Secretary or Executive administrative assistant and familiarity within the real estate industry, we’d like to meet you. Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our business, helping with a variety of tasks.

Responsibilities

Answer and direct phone calls
Organize and schedule appointments
Plan meetings and conduct our weekly check-in meeting with all agents
Write and distribute emails, letters, and forms on behalf of company and owners
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system online
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Maintain contact lists, updating our CRM
Provide general support to visitors
Act as the point of contact for clients and potential clients
Managing Transaction of current listings for buyers and sellers. Ensuring deadlines are met, keeping extremely detailed files.
Compiling necessary details for upcoming listings, ensuring we have accurate information
Maintaining Property Management documentation of leases, management agreements, communication and notices to tenants, ensuring all deadlines are tracked and met.
Scheduling repairs at various rental properties, keeping our vendor list updated. Researching new vendors and obtaining bids.
Assisting with various tasks including errands.
Planning events for our company and clients
Ensuring office is organized including ordering necessary supplies
Planning and ordering marketing materials and company mailers

Skills

Self-motivated/Self Starter
Proven experience as an administrative assistant or office admin assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers, computers, and phones
Proficiency in MS Office (especially Outlook) is a must
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
Experience using Follow Up Boss (CRM) and Buildium (property management software) is a plus
Real Estate Industry experience is a plus
Real Estate License is a plus
Sales Industry experience is a plus
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Proficiency with MacOS

Job Type: Full-time
Pay: $50,000.00 – $60,000.00 per year

Education:

High school or equivalent (Preferred)

Experience:

Administrative Assistant: 2 years (Preferred)

License/Certification:

Driver’s License (Preferred)
