Job Description : Administrative Assistant
Position Overview:
Administrative assistants perform a variety of administrative duties in support of the company’s construction management department. The individual will assist with daily office duties and managing our organization’s general administrative activities. Maintain schedules and trackers, perform billing functions, and provide additional administrative support as required by the project team.
Primary Responsibilities:
Use business software applications (Proficient in MS Office, Outlook, MS Teams, etc.) to prepare correspondence, reports, presentations, agendas, meeting minutes, prepare responses to routine correspondence and inquires
Prepare, key in, edit and proofread correspondence, invoices, presentations, brochures, publications, reports, and related material
Open and distribute incoming regular and electronic mail and other material and co-ordinate the flow of information internally and with other departments and organizations
Schedule and confirm appointments and meetings
Order office supplies and maintain inventory
Answer telephone and electronic enquiries and relay telephone calls and messages
Set up and maintain manual and computerized information filing systems
Greet visitors, ascertain nature of business and direct visitors to appropriate person
Record and prepare minutes of meetings
May compile data, statistics, and other information to support research activities
Respond to and resolve administrative inquiries
Ability to maintain confidentiality while working with sensitive information
Ability to work with all levels of employees in the organization
Ability to prioritize deliverables to meet timelines, providing follow-up and updates
Willingness and flexibility to assist others as required
Excellent written and verbal communication skills

Can problem solve independently
Self starter
Administrative assistant: 1 year
Bilingual English and Serbian
