Job Overview:
The Business Support Administrative Assistant provides administrative, clerical and safety support to the Tempe, AZ staff and personnel. The position is primarily based out of the Linde Gases US Tempe, AZ office.
Primary Responsibilities:

Reports to the Sales Director but can also be assigned tasks by staff members
Provide support and assistance during month-end close process to the management team and to other Finance and non-Finance teams.
Maintain data in shared folders and SharePoint. Manage user access.
Generate reports and analyses to support business reviews.
Perform ad hoc reports for the management team (sales-invoices, pricing, etc.).
Perform variance analysis and investigates irregularities.
Provide support to business management through the update of tools, models, presentations, and dashboards.
Provide support in the annual plan process.
Monitor business performance KPIs and provide regular updates to management.
Support High Mountain Fuels RIN generation
Provides the following key administrative and clerical support:
document generation and revisions including but not limited to procedures, letters, purchase orders
Generate and manage various production and inventory reports
generation of training material including PowerPoint presentations
preparation for and management of key meetings (e.g., staff meetings, safety meetings, Linde management and customer visits)
Scanning and digitizing of documents
Management and administration of specific databases (e.g. Airtime site, shared drives, etc.)
Assist in the management of invoices and payments. Help ensure that enclave stays current on these obligations
Help with the delivery and receiving of materials as needed
key support in office management including obtaining supplies, delivery and receipt of materials

Qualifications – External
Qualifications:

Fluency in MS Office (Word, PowerPoint and basic Excel)
Working knowledge of Microsoft Outlook.
Ability to efficiently manage both hard and electronic documents
Strong time and meeting management skills
