Job Description : Job Title: Administrative AssistantDepartment: MFMRReports To: Residency AdministratorFLSA Status: Non-Exempt, Full-timeSchedule: Mon-Tues and Thur-Fri 8am-5pm, Wed 830am-530pmWage: $14.00-$20.00 hourly; depending on number of years of transferrable experience and internal equity.SUMMARY This position provides confidential daily administrative support to the faculty and residents of the Montana Family Medicine Residency (MFMR).ESSENTIAL KNOWLEDGE, SKILLS AND RESPONSIBILITIES include the following. Other duties may be assigned.Distributes daily family medicine service (FMS)/obstetrics (OB) list. Creates table of total monthly census of FMS and OB patients.Organizes didactics afternoon, tracks/distributes evaluations and cleans up at conclusion of didactics.Attends and records minutes at following meetings: Core Faculty, Program Evaluation Committee, Graduate Medical Education Committee, Osteopathic Graduate Medical Education Committee, MFMR Board, OB Track, Residency Committee, and MFMR Staff.Tabulates meal reimbursement for resident overnight shifts at hospital.Sends out meeting invites and prepares paperwork for advisor/advisee meetings.Schedules required meetings for program director and monthly faculty/PA meetings.Attends other facility related meetings.Distributes monthly faculty call schedule.Assists with onboarding new faculty and resident staff to include: orders lab coats, name badges, business cards and the yearly poster of new staff.Monitors, coordinates and completes Basic Life Support in Obstetrics (BLSO)/Advanced Life Support in Obstetrics (ALSO) paperwork and administrative requirements, as well as Nexplanon.Reconciles credit card for payment.Orders books for the MFMR library.Matches evaluations in New Innovations and mails rotation evaluations as needed.Records evaluations and tracks duty hours in New Innovations.Assists with yearly residency graduation including: decorations, invitations, certificates, maps, etc.Assists in maintaining and updating each resident’s transcript.Monitors the Electronic Residency Application System (ERAS).Creates and distributes surveys on Survey Monkey.Coordinates and oversees Sports Medicine Conferences, including but not limited to topics, speakers, evaluations, attendance, etc.Assists in overseeing organization and safekeeping of residency document archive.Other general duties to include: schedules and sets up meeting rooms, updates emergency contacts for residents, faculty and staff, completes travel arrangements, texts or emails staff reminders, updates phone list, completes filing, sends faxes and orders supplies, distributes mail, answers phones, greets visitors, orders food frequently, assists with resident interviews, completes copies as needed, schedules meetings for faculty and residents, as requested, and distributes weekly newsletter to staff.Will be directed on work related issues and concerns by faculty physicians and residents on administrative duties.Ability to quickly learn and put to use new skills and knowledge brought about by rapidly changing information and/or technology.Proven ability to work in a team/interdisciplinary team to achieve a common goal.Demonstrate strong organizational and planning skills—function as a self-starter.Ability to perform duties as an independent and self-managed individual while serving as an effective member of residency administration.QUALIFICATIONS to perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
