Administration Assistant – Part Time (UNION)
Location:
Burnham Office, 2245 Keene Rd, Burnham Office
Salary/Hourly:
$24.59 to $35.13 2.
JOB PURPOSE:
The Administrative Assistant is a motivated, customer focused team member who will work closely with management to provide administrative support. This position is involved in a broad range of responsibilities.
.MAIN ACCOUNTABILITIES
1)Provide excellent customer service to both internal and external customers in a prompt,courteous, professional manner;
2)Organize facilities tours, coordinate bookings and training, manage distribution andreceipt of waivers if applicable;
3)Provide prompt and efficient clerical, administrative services, and support;
4)Create and prepare various purchase requisitions and orders, contract documentation,specifications, and agreements.
5)Prepare, organize and assemble input from others for responses to RFP’s, quotes andtenders, input information into bids and tenders software as necessary.
6)Initiate service orders promptly in accordance with customer requests;
7)Maintain organized record and filing systems consistent with the Corporate RecordsManagement System.
8)Provide prompt and efficient clerical duties including reception services, mail, filing,spreadsheet creation/data entry, billing, photocopying and word processing.
9)Maintain petty cash and purchasing card reconciliation for the department.
10)Obtain research information, quotes or other information from outsidesuppliers/contractors and expedite orders as required.
11)Purchase office supplies, sorting mail and organize shipping
12)Manage and maintain controlled documents including, SOP’s, manuals, forms, safetyprocedures, intranet website updates, file uploads and SDS.
13)Preparation and maintain various reports, minutes of meetings.
14)Responsible for personal safety and the safety of others who are dependent upon theiractions. Report hazards and unsafe acts or conditions encountered on the job to fellowworkers and supervisors;
15)Provide relief for other administrative assistants as required; and
16 Other duties as assigned.
Academic and professional qualifications:
Graduate of post- secondary diploma in a related discipline
Experience:
2 years experience preferably in a utility environment.

Skills (Technical Skills):
1.Must possess excellent knowledge of Microsoft Office Suite (Excel, Word, PowerPointetc.)
2.Consistent, organized working habits that result in an efficient, professional workplace;
3.Ability to learn the technical terms used in the Water Industry;
4.Excellent keyboarding skills with speed and accuracy;
5.Demonstrated excellent oral and written communication skills;
6.Possess a high level of personal integrity;
7.Enjoy working as part of a team and also independently;
8.Ability to multitask
9.Proven ability to work professionally with confidential information;
10.Good problem-solving skills with the ability to identify alternative solutions; able todemonstrate good judgement and consistency in executing duties with a minimum ofsupervision.
11.Strong Organizational skills with the ability to work in a multi-task environment withnumerous interruptions throughout the day; and
