Position : Administrative Coordinator

Job Description : Ottawa Hospital and Region Imaging Associates is currently looking for a permanent Full-Time Administrative Coordinator. The administrative Coordinator will provide provide administrative support to the Head of Medical Imaging and Chair of Radiology. The employee will also be responsible to coordinate the administrative office of the clinical Department of Medical Imaging and academic Department of Radiology.

Please note that this is a Department of Medical Imaging position. The successful candidate to this vacancy will be an employee of Department of Medical Imaging and not The Ottawa Hospital.

Rotation/Shifts

Days, Monday to Friday, 8 hour shifts.

Basic Requirements

Post-secondary diploma in office administration, executive level;
5 years of experience as executive administrative assistant or equivalent, with increasing responsibility, including performance of all aspects of office management;
Familiarity with PCs and associated software products including Windows and MS Office, e.g.: Word (advance), Excel (intermediate), Access (basic), Outlook (advance), PowerPoint (intermediate) and Publisher. (basic)
Knowledge of hospital/department policies, rules and regulations; knowledge of university structure, policies;
Excellent organizational, prioritization and time-management skills required to concurrently co-ordinate multiple activities and meet various dept. needs/deadlines while paying close attention to details;

Ability to work independently with little supervision as well as part of a team;
Ability to evaluate and refer matters to appropriate personnel;
Ability to maintain patient and staff confidentiality;
Excellent interpersonal and verbal communication skills required to interact with multiple personnel, external contacts and the public;
Excellent oral and written communication skills including proofreading and editing, required to draft or generate correspondence and documents;
Excellent problem-solving and decision-making skills required to deal with unexpected situations or issues.
