Overview
Legal Services is currently looking for an enthusiastic, self-motivated and administrative professional to fill the role of an Administrator. This role will appeal to a highly organized individual, with a strong service orientation, who wants to contribute to the success of numerous key initiatives with the EDC’s Legal Team.
The Legal Services team supports all the EDC teams. There are four separate teams in Legal: Litigation, Governance, Trade & Operations; Insurance & Liability Management; Financing & Investments; and Special Projects. The Administrator will provide support to all the Legal Services team reporting into the Assistant Chief Legal Officer, Special Projects. The Administrator is expected to contribute to the Team’s overall success and effectiveness in the delivery of quality and value-add services to our clients. In addition, the Administrator is expected to actively contribute to further developing an environment of continuous improvement within the team.
The ideal candidate has demonstrated success supporting a team, thrives under demanding circumstances and strict timelines, exercises innate discretion and is comfortable working in both of Canada’s official languages.
Discipline Summary
Supports general business operations by providing various administrative support activities as a generalist or in a combination of disciplines in an Administrative Services role.
Manages Legal’s SharePoint site including uploading of files and documents in the appropriate locations, monitors site permissions, and maintains integrity of the site.
Uses business software applications to prepare correspondence, reports, presentations, or perform data entry.
Arranges business travel, coordinates meeting arrangements.
Identifies, enhances and follows specific processes and procedures to maximize the efficiencies of office workflows to which the support is being provided.
Responsibilities
Provides administrative services including, but not limited to handling correspondence, coordinating agendas, managing workflows, routing information, preparing documents, arranging logistics, processing inquiries, and administering budgets.
Creates, formats, edits, uploads, and compares legal documents.
Provides file, document or information storage and retrieval services including classification, organization and electronic data/Information entry or sourcing.
Works closely with Accounts Payable and Procurement to manage invoicing process with external providers, mainly outside legal firms, maintaining accuracy.
Assists with team calendars by coordinating and arranging meetings, conferences, travel and business itineraries.
Responsible for the preparation, forecasting and accruing for corporate budgets, managing purchase orders and expense payments, the monthly reconciliation of expenses, and the preparation of various management reports.
Solves administrative problems and initiates improvements to administrative standards, controls and processes.
Other duties as assigned.
Screening criteria
Completion of secondary school
Minimum 3 years of experience in administrative field, including calendar, email, budget management and information management with exceptional customer service
Basic knowledge in the operation of computers
Assets
Written and spoken communication skills in French and English
Ability to learn new processes and procedures quickly
Demonstrated experience learning how to use new software or platform(s)
Ability to learn how to troubleshoot software issues, consult resource guides and work with technology teams to resolve issues
Strong knowledge in the operation of computer applications (e.g. Outlook, Word, Excel, PowerPoint, Teams, OneNote, SharePoint and other related programs) and ability to quickly learn new computer-based applications
Salary Range
$46,600 – $69,900, + performance-based incentive
Location
Please be advised that this position is typically based at Head Office in Ottawa but could be performed remotely from any location within reasonable distance from an EDC office.
