Job Description
This position is responsible for Operational effectiveness and providing department strategy to ensure accurate, timely, cost effective service delivery within the established service standards for the department. This position will provide leadership to the team accountable for the following:
Client Financial Reports
Ensure accurate and timely completion of Client Financial reports for all Insured Refund Accounted clients (approx. 600 reports completed per year)
Ensure accurate and timely completion of Sales Tax reconciliations for those clients with Ontario, Quebec and/ or Manitoba employees. Ensure clients receive these reports with their annual financial statements
Ensure that all Insured renewal accounting is completed in a timely manner
Ensure that all Insurope reporting is completed in an accurate and timely manner
Ensure that all daily uploads are processed, and journals are reviewed and released for the Deposit Accounting System (DAS)
Work closely with finance when questions or issues arise from Insured Refund actualizations
Refund Requests
Ensure that all Refund requests for Surpluses are handled within TAT from the UDA (Unrestricted Deposit account system)
Ensure that accounting is completed to offset to eTreasury and confirm that suspense accounts clear with the refund
Adding comments in SMART for any transactions that have not cleared at month end
Ensure holistic review of client financial position before refund is released
Service Level Agreements
Ensure accurate and timely completion of Performance Standard agreements for those clients with this arrangement (approximately 125 clients with monthly, quarterly, semi-annual and annual reporting)
Ensure accurate tracking of risk and penalties paid
Risk Management
Developing/maintaining strong internal controls so that the integrity of the financial information provided to our customers is not compromised and so that our internal controls meet the high standards of SOX (Sarbanes-Oxley)
Ensuring that all SOX related documentation is understood by the team and kept current
Monitoring deficit reporting and tracking
Weekly TAT reporting and monthly audit results reporting
QA program and control framework design, review, and monitoring
Leadership Accountabilities
Workflow Management and prioritization
Escalations from RGO or UW pertaining to financial reports
Developing and recommending strategic direction for the department to ensure accurate, timely, cost effective service delivery within the established service standards for the department
Recruiting, performance management, coaching and development of department staff through performance appraisals, goal setting, training, and personal development
Building and leading a team that understands our core values and create an environment where the team understands that their participation is critical to our overall success
Building good working relationships with the Underwriting and RGO leadership teams to help facilitate escalated issues and improve process where applicable
Improving operational efficiency by identifying and implementing process improvement opportunities while focusing on customer needs
Supporting implementation of technology, people or process changes which includes providing input to requirements definition and having staff execute User Acceptance testing for system development initiatives and providing the resources as required
