Overview
The Associate Specialist, Accounts Payable is responsible for all aspects of the accounts payable function for a national organization. The Associate Specialist, Accounts Payable will process payments on a timely basis, work with current vendors and build relationships with new vendors to resolve invoice queries, and make alternative payments when advised.
Responsibilities
Weekly pay cycle

Verify GL coding and process invoices, employee expenses, and credit card expense reports, ensuring compliance with policies and sales tax regulations.
Process payments by using the A/P software solution.
Confirm appropriate expense approvals in a timely manner.
Process journal entries such as prepaid, postage, GL change requests, etc.
Monitor adequate bank balances.

Internal support and vendor customer service

Respond to and resolve internal inquiries and issues related to accounts payable.
Build strong working relationships with employees, working collaboratively on related initiatives.
Follow up with vendors regarding invoice queries.
Support the procurement process by suggesting cost-saving and discount opportunities where possible.
Train new organizational staff on the accounts payable process, specifically how to use AP software, submit expenses, etc.
Process donor cheques, and bank deposits.

Process analysis and reports

Reconcile accounts, ensuring information is accurate and up to date.
Report on cashflow.
Seek process improvements and automation to help improve workflow and processes.
File and documentation management.
Prepare quarterly HST filing and submission for the CRA.
Contribute to IRS Form 990 and CRA T3010 filing.
Contribute to year-end audit processes.
Track key metrics such as delinquent expense reporting.

Corporate credit card management

Issue and manage credit cards to employees.
Review and reconcile employee’s inputs into the accounts payable system (Ariett) with total payments made to the credit card company, liaise with employees, make corrections, resolve discrepancies, and record expenses.
Manage credit limits for staff when reconciling statements, making exceptions if necessary following pre-established steps and seeking necessary approvals.

Other Responsibilities

Prepare ad-hoc reports.
Act as a back-up to support other areas of the Finance team when required.
Qualifications
Some higher education or vocational training in accounting and/or business, OR
3+ years of related experience, with 2 years of hands-on experience with a cloud-based AP system (or similar).
3+ years of hands-on working experience in a high volume automated A/P environment required.
Working knowledge of the accounting cycle and provincial sales tax regulations.
Ability to work well independently, and with moderate supervision.
Capable of maintaining confidential information and can convey confidential information discretely.
Well-developed interpersonal skills.
Adept at drafting routine written communications (e.g., meeting notes).
A customer service orientation with focus on fostering positive relationships.
