The Opportunity

Reporting directly to the Manager, Mayor and Council Office, this role is primarily responsible for providing executive, administrative and highly confidential support to Mayor and Members of Council. This role collaborates in the development and implementation of public engagement initiatives and liaising with staff on council/constituent matters. This role also researches and tracks emerging community issues and works to make improvements and enhance the services provided with the Mayor and Council Office to support members of Council. As the Coordinator, Mayor & Council Office, you will also perform the following duties, including but not limited to:

Produce engaging and timely social media campaigns and content for multiple social media platforms for the Mayor and Members of Council, at the same time as reviewing, tracking and reporting on social media analytics.
Executing calendar management and developing meeting agendas for Members of Council, including but not limited to meetings with many levels of government, constituents, stakeholders, internal staff, business owners etc.
Attend to inquiries from Members of Council, including conducting extensive research on requested matters internally and externally, as well as responding to telephone, email and in person inquiries from internal and external stakeholders.
Coordinate Council initiated public relations activities, special events, economic development initiatives, community engagement initiatives and business events.
Prepare and submit expense claims for Members of Council.
Maintain the Divisions files pursuant to corporate records management policies and procedures.
Maintain all new and ongoing issues within CityWide (tracking program), and act as the point of contact for the division between staff, residents and council members.

COVID-19: In consideration of the current pandemic and Public Health orders, the Town of Caledon is providing limited in-person services as Town Hall is open to the public by appointment only. The successful candidate for Coordinator, Mayor & Council Office will be required to work a flexible schedule, including in the office, remotely and after hours (as required).

The Ideal Candidate

We are seeking an energetic, customer service oriented professional with a passion for public service and governance. If you have a post-secondary degree/diploma in Business Administration, Communications, or Political Science or a closely related field, this might be a great opportunity for you. Our ideal candidate has a minimum of two (2) years of office coordination and administration experience and minimum two (2) years of communications, social media and event coordination experience. This is a supportive role for Members of Council so experience in a municipal or political environment is essential. Certification in AMCTO’s Municipal Administration Program (MAP) would be considered an asset.

In addition, our ideal candidate will have demonstrated ability to exercise significant discretion and sensitivity involving access to confidential information. We are seeking an individual with superior interpersonal skills, including the ability to work effectively in a team environment, provide solutions to problems and communicate efficiently and effectively with political astuteness and diplomacy. The ideal candidate has computer proficiency in MS Office (Word, Excel, Outlook), working knowledge of various social media platforms and public engagement software.

This position offers a salary range of $59,044.34 – $72,358.50 plus a competitive benefit package.

Satisfactory passing of a criminal record check, and proof of qualifications will be required of any successful candidate(s) for this position.

New employees who commence employment on or after November 15, 2021 are required to be fully vaccinated against COVID-19, as a condition of employment. Being fully vaccinated is determined as the status of having received the full series of approved vaccines (both doses of a two dose vaccine series, one dose of a single dose vaccine series) and any additional doses required and approved by Health Canada and having satisfied the full post vaccination period required to ensure vaccination efficacy. The Town of Caledon reserves the right to request proof of vaccination at any time. Acceptable proof includes an Ontario Ministry of Health COVID-19 vaccine receipt which you can obtain through the Provincial portal https://covid19.ontariohealth.ca/, or other government-issued vaccine passport or certification. The requirement to be fully vaccinated is subject to the Ontario Human Rights Code.
