Position : Curatorial Administrative Assistant
Job Description : General Overview:
The Curatorial Assistant provides support for the Curatorial Department’s daily operations and will have major involvement in the implementation of the museum’s ambitious exhibition program. The position handles general correspondence, requests for information, database management, support for exhibition-related programs, and coordination of work on current and future exhibitions.
Duties and Responsibilities:
Uses Filemaker to maintain artwork database, including creating and generating checklists and loan forms
Organizes all exhibition documents on the server and Google drive, ensuring working and final drafts are saved
Coordinates artist and public program participants’ travel and schedules within the approved budget.
Assists with general curatorial inquiries
Supports the Assistant Curator in creating labels and gallery guide text, assists in catalog and program development
Schedules installation photography; works with artists, galleries, and internal museum staff to come up with installation photography shot lists
Supports with image requests for each exhibition, the AAM website, education materials, and press use
Manages publication mailings to donors and lenders
Handles general mailing
Helps facilitate artist projects and the commissioning and production of new works
Creates presentations for Board of Trustee’s Exhibition Committee and other meetings as needed
Attends and participates in exhibition-related programs.
Assists in all Art Week programming as needed
Prepares physical materials for Assistant Curator and Director of Exhibitions meetings with artists, curators, gallerists, or collectors as needed
Uses Asana, the project management software, to complete and organize tasks
Other duties as assigned
Knowledge, Skills, Abilities:
Excellent working knowledge of art history, especially contemporary art and the international contemporary art world.
1–2 years’ experience in a museum or contemporary art gallery.
Strong editing, and document-preparation skills; strong computer skills a must
Excellent organizational skills, attention to detail, and the ability to multitask under pressure in a fast-paced, team-oriented environment.
Ability to represent the museum with a high level of integrity and professionalism, adhere to museum policies, maintain confidentiality, and support management decisions in a positive, professional manner.
Demonstrated effective written and oral communication skills; ability to work effectively and diplomatically with staff, trustees, artists, arts professionals, press, and the public.
Computer skills to complete forms and paperwork and to use email.
Hours and Work Schedule:
This is a salaried position requiring availability from Monday through Friday, 9 a.m.–5 p.m. This position is exempt from the Fair Labor Standards Act and will not receive overtime pay for all hours worked in excess of forty in a seven-day workweek or over twelve hours in a day. Occasional night, weekend or holiday scheduled work is to be expected.
