Job Description : Job DescriptionSurgical Customer Service RepresentativePOSITION: CSRRESPONSIBLE TO: Management TeamJOB SUMMARY: Schedule and confirm all office visit and virtual appointments. Ensure the proper check in and confirming of all clients in the Clinic. Conduct billing for purchasing clients as necessary. Place vendor orders. Perform photography for clients before and after. Input schedules into calendar. Some weekend work maybe requiredEducational Requirements: High school diploma requiredAssociates or bachelors degree preferredQualifications and Experience: Comfortable using email and interacting with Internet applicationsExcellent written and oral communication skillsNeat, professional appearanceMinimum two years experience working in a surgeon practice scheduling appointmentsComputer literate—with keyboard skills and knowledge of practice management and word processing softwareAbility to work with patients and make them feel comfortableStrong written and verbal communication skillsReliable and highly motivatedResponsibilities include, but are not limited to: Using a telephone and computerized appointment scheduling program, schedules all clients appointments, according to surgeon-specified protocols; enters key demographic and credit card information into the database.Prospectively informs all new and established clients about the practice’s payment at the time of service policy, and ensures they understand they are to arrive on time to complete their forms.Informs new clients about the practice’s Web site; encourages them to visit the website for in depth treatment/procedure information.Prints required documents and fills patient charts accordingly for their appointments/treatments.Makes appointment reminder phone calls to all patients 48 hours prior to their scheduled appointmentsRe-schedules all clients when the doctor/treatment provider has to cancel/change office hoursRuns daily appointment schedules for all areas of the practice; distributes to appropriate staffChecks voice mail regularly and returns calls from clients who wish to schedule appointmentsChecks email regularly and responds to established clients who have requested an appointment onlineMaintains client confidentiality; complies with PIPEDA and compliance guidelines established by the practicePerforms tasks as detailed in the Customer Service Representative’s Roles and Responsibilities.Performs ALL necessary opening and closing duties.Maintains detailed knowledge of practice management and other computer software as it relates to job functionsAttends continuing education courses as requestedAttends all regular staff meetingsCompletes all other duties as assigned by the Clinic ManagerTypical Physical DemandsPosition requires prolonged sitting, some bending, stooping, and stretching. Good eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment is also required.
