Summary/Function:
The Office Manager will be responsible for the organization and coordination of office operations, procedures and resources to facilitate effectiveness and efficiency for the organization. This individual will provide administrative assistance to the executive team of Davidson Investment Advisors, particularly the President, and also perform a wide range of activities in support of client service and marketing initiatives. This position is required to maintain a high degree of confidentiality with respect to client and company information.

Required Experience:
Qualifications/Requirements:
High school diploma required; Bachelor’s degree and/or previous experience in an office environment preferred.Proficiency in Microsoft programs including Word, Excel, Outlook, and PowerPoint required.Strong oral and written communication skills, with content delivered in a clear and service-oriented manner.Ability to work independently in a fast-paced, deadline-oriented environment.Highly organized and detail-oriented, able to manage multiple demands and competing priorities.Ability to work with a variety of personalities in a team setting.
Duties:
Manage and maintain the President’s calendar, including scheduling appointments, internal/external meetings and conference calls. Coordinate travel arrangements for the President and other team members.Draft and edit correspondence, communications, and other documents for the executive team.Courteously greet and screen callers and visitors, answering questions and taking messages as needed.Coordinate payment of invoices in a timely manner with Davidson’s Accounts Payable department and accurately maintain expense records. Manage supply orders as needed within the organization.Maintain corporate documents, including contact files and distribution lists. Maintain WORM-compliant document archives related to client reports, legal documents, and correspondence.Create and confirm accuracy of quarterly client reports, as well as internal/external adhoc report requests, and facilitate their distribution.Assist in the preparation and distribution of marketing materials, and coordinate printing requests.Work with the IT department to maintain information on the firm’s intranet page/external websites.Organize special company events including offsite meetings and holiday gatherings.Perform other duties and collaborate on special projects as necessary.
