Job Description : Director of Guest Services Job Description The Director of Guest Services is responsible for overall guest satisfaction for our portfolio of vacation rental properties. This leadership position is responsible for overseeing the Reservations and Guest Services departments; collaborating with the operations team and ensuring each guest has a 5-star experience. Provide exceptional service to guests and ensure your direct reports do the same; quickly addressing feedback in a professional and accurate manner. Responsible for leadership of the Reservations and Guest Services associates and ensuring that their daily checklists are completed thoroughly and accurately each shift.Identify issues quickly and creatively to resolve problems in a kind, professional manner.Is able to take data, analyze it and connect the dots to take corrective action and identify what is the best corrective action to solve the problem (accountability, training, change in process, etc.)Align with General Manager and Operations Managers regarding maintenance and cleaning issues/schedules that impact the guest experience. Pro-actively communicate to respective parties and follow-up on closure of actions so guests are properly notified. Be the expert in the Stay Montana systems used; ensuring they are being fully utilized for efficiency, accuracy and accountability.Ensure Agents are properly helping our guests, establish verbal and written scripts agents are to follow, review agent calls for coaching purposes.Evaluate, monitor and update as needed all automated guest facing communicationResponsible for making sure all guest reviews are responded to professionally and timelyResponsible for supporting Guest Services Managers with challenging situations as they arise; be the final point of contact for resolution and guest satisfactionWork with OTA market managers to understand and track the metrics for Premier Partner and SuperHost, share status updates with Leadership team, develop and drive action plans to improve where necessary.Collaborates with Director of Marketing on guest facing communication and to ensure property listings are accurate.Collaborates with Director of Owner Services with new property turnover to build new listingsCollaborates with Director of Revenue Management on reservations/revenue optimization itemsTrack and manage all incoming office packages and ensuring they are delivered in a timely mannerWork hours may require after-office hours, weekend and holiday shifts, and on-call availability.Special Projects as assigned.Skills & Abilities: Passion for executing and leading others in providing exceptional service. Ability to work well under pressure in an agile, fast-paced environment. Excellent time management and organizational skills with the ability to change activity frequently and cope with interruptions. Highly responsive and reliable with strong attention to detail. High level of personal accountability that the guest experienceAbility to prioritize tasks to satisfy various stakeholders. Ability to read, comprehend and write complex correspondence and effectively communicate with guests and homeowners using diplomacy and tact required.
