Position : Executive Administrative Assistant

Job Description : In most cases the Executive Administrative Assistant will be the first point of contact with NSAA. With that in mind, he/she will welcome guest/vendors to NSAA (front desk, incoming calls, email, events, etc.) in a positive and helpful manner while overseeing general activities of the office. This position will also work with the NSAA team to assist them with administrative work that will help them do their jobs more effectively and efficiently.
Provide information, connect guests with the person they are meeting with, manage meeting rooms, booking the space and arranging for any food and beverage, catering and AV equipment that someone needs to run a meeting. Develop and implement organization procedures for everyone to receive mail and packages, check out office equipment, request additional supplies and submit tickets for maintenance and repairs.Administrative support and guest service tasks to ensure efficiency. Duties include but not limited to:

Working the primary hours of operation (M-F, 9 am to 5 pm). Answering phone calls, transferring callers as appropriate
Greeting customers and visitors to the office, ensuring guests are comfortable and are connected with the right office personnel
Managing schedules for conference and community spaces
Monitoring and ordering inventory for office and kitchen supplies
Managing incoming and outgoing correspondence, including emails, faxes, mail and packages
Organizing records, invoices and other important documentation digitally
Scheduling repairs for general office space and equipment. Notifying landlord and coordinating repairs and other needs that are landlord responsibility
Coordinate Gold Pass program with USSS and manage inventory/loaning out.
Coordinate Mountain Foundation program including applications and coordinate with Marketing to promote scholarships and donations.
Travel to events and manage registration (At least three events/year but possibly more).
Assist NSAA staff with a variety of needs such as:

o Schedule staff meetings – circulate agendas and materials when applicable.
o Take notes at staff meetings and distribute minutes within the same week
o Manage office calendar
o Circulate updates, agendas, doodle polls, surveys and other documentation to committees, Board of Directors and other affiliations, as needed
o Keep an eye on certain media alerts and notify appropriate staff when necessary.
o Help prepare Powerpoint presentations
o Help with all administration of NSAA programs like Sustainable Slopes, awards and the Mountain Foundation.
o Data research and data entry including databases like the congressional, lift service bulletin, and ropeway databases.
o Meeting invites
o Manage subscriptions, URLs, memberships
o Call/email membership for a variety of reasons including upcoming deadlines, important updates or to check on a specific request
o Event registration (advance and on-site)
o Booking travel
o Keeping the office neat, organized and professional
o Must be able to periodically lift packages weighing up to 40 lbs.

Pay: $45,000.00 – $59,000.00 per year
