POSITION SUMMARY
Aevum CEO Jay Skylus is seeking an Executive Assistant (EA) who is a tactical genius responsible for managing the CEO. The EA handles all the day-to-day details, such as scheduling, travel, meeting prep, events, and general office management. Most importantly, the EA maximizes the CEO’s reach through their exceptional leadership and communication skills.
You will work independently and alongside the CEO’s administrative assistant, personal assistant, operations manager, and the company’s multidisciplinary teams to execute projects and tasks as a part of his office to realize the CEO’s bold vision to democratize autonomous transportation on Earth and space.
The ideal candidate is highly resourceful, a self-starter, entrepreneurial, and hungry to do work that matters. This is an experienced position fit for the select few. The most successful candidates will have extensive administrative experience supporting a high-performance individual in- and out-of-the-office settings. You will use your expertise, “can do” attitude, and organizational skills to assist the CEO in fundamental and complex professional work. You have a high degree of emotional intelligence and excellent interpersonal skills.
The administrative work involves exposure to highly sensitive, confidential, and/or classified information requiring confidentiality, tact, and discretion.
Aevum’s development timelines are aggressive, and you’ll be asked to work hard as necessary.
Travel is required of the Executive Assistant and must be available most hours as required by the CEO. This means you have a Go Bag under your desk to jump on a private or commercial flight to anywhere in the world, if the CEO requests you to go with him.
The salary range for this position is $70,000 to $110,000/year commensurate to experience and fit.
PRIMARY RESPONSIBILITIES

First and most important, be a partner to the CEO and his vision and help leverage the CEO’s time by managing the CEO.
Relentlessly manage the CEO’s time. Organize and maintain the CEO’s calendar, appointments, action items and support the CEO by informing him of all commitments and responsibilities. Follow up on behalf of the CEO when appropriate.
Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect CEO’s style and organization policy.
Work closely with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Act as a “barometer,” having a sense for the issues taking place in the environment and keeping the CEO updated. Anticipate CEO’s needs in advance of meetings, conferences, etc.
Provide “gatekeeper” and “gateway” role, providing a bridge for smooth communication between the CEO and staff, demonstrating leadership to maintain credibility, trust, and support with the executive management in the CEO’s office.
Serve as an extension of the CEO to manage his relationships with VIP’s, high profile investors, partners, and customers.
Arrange travel, travel plans, itineraries, agendas, visas and accommodation and travel with the CEO and ensure that all relevant documents are available for travel related activities.
Plan, organize, and manage events. Coordinate all executive management meetings and retreats and assist with staff meetings and events as needed.
Research, compile, organize, graph, and accurately portray information.

QUALIFICATIONS

Hunger to support an individual driven to provide a technology-based solution to global challenges such as global access to the internet, alleviating the bottlenecks of transportation and logistics, deploying science and supplies in support of climate change research, sustainable delivery services through reusable and high efficiency technologies.
Career focused on supporting a high performance individual who is always on the go
Bachelor’s degree required
Past experience supporting technical founders, technical executives, or high performance individuals
Expert proficiency with Microsoft Office products
Strong verbal and written communication skills; highly interpersonal
Exceptional organizational skills and impeccable attention to detail
Ability to complete a high volume of scheduling, event coordination, tasks, and projects
Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
Demonstrated ability to maintain a high level of integrity and discretion in handling confidential and proprietary information
Ability to switch gears at a moment’s notice

PREFERRED

Extensive experience supporting high profile executive leaders, including Board members, senior executives, staff, high profile investors, and partners.

WORK ENVIRONMENT

The CEO is a high performance individual, rocket scientist, software engineer, businessman, enjoys philosophy, and an introvert
Cross-functional team environment from all walks of life
In-office, out-of-office and remote settings throughout the year
General availability (nights/weekends) to support the CEO
Frequent domestic travel may be required; occasional international travel to Europe and Asia Pacific
