Position : Executive Assistant

Job Description : The primary purpose of this position is to provides complex and confidential administrative support to the Foundation, Corporate Responsibility and Marketing Senior Leader/Directors/Managers as needed. This position ensures the efficiency of activities and support for effective corporate governance. This position also provides confidential coordination, communication and other administrative services to the DDCO Foundation Board, ensuring efficiency of activities and support for effective DDCOF Board governance.Key Responsibilities: Essential Duties:

Provides cross-functional project leadership, management and/or coordination for a variety of Foundation and Foundation Board initiatives
Plans, prioritizes and organizes a diversified workload using judgment and the ability to work independently and with others
Plan meeting and event logistics planning and administration: coordinates calendar, arranges meeting space and accommodations, makes appointments, manages schedules, coordinates catering, makes reservations and travel arrangements as needed, maintains invitee lists, coordinates gifts and activities
Plans, coordinates and attends quarterly Board meetings and annual Board Retreat, including handling all issues regarding meeting space, hotels, rooms and meeting packets. Also accountable for minute taking, makes revisions, finalizes and distributes the minutes through the current Board Portal
Serves as a system administrator for Board software to ensure new Board members are onboarded correctly; ensures the information in the application is easily retrieved
Support the Foundation programs team by managing administration related to the Foundation grant database that may include processing payments, contracts, and reports. Work with the team to develop process improvement and customer service.
Prepares reports and presentations with various levels of confidentiality, collects information, compiles into standard or non-standard format, prints, proofs, and distributes to appropriate SLT and Board members
Identifies, recommends and implements process improvements and changes in office practices and procedures
Works collaboratively with the Executive Assistant team to provide back-up while on PTO, to ease workload, and to share Board responsibilities

Strong business acumen
Availability to work different work schedules, including weekends once or twice each year
Healthcare industry experience a plus

Qualifications:

Five to seven years of previous Executive Assistant experience required
At least three years of experience supporting Board activities is preferred
Expert knowledge of executive support and administrative practices and procedures
Skilled with administering projects from beginning to completion
Excellent written and verbal communication skills with the ability to interact with all levels of team members, Board members, vendors and the general public
Intermediate to expert (expert preferred) knowledge of the most recent version of Microsoft Office suite using Outlook, Word, Excel, PowerPoint and Teams, including coordinating calendars and email
Familiarity with videoconferencing technology such as Zoom and/or Teams, including setting up meetings for others
Understanding of database concepts and document retention
Expert capability to prepare presentations and reports for high-level, targeted audiences using various modes of technology
High School Diploma required; college a plus
Administrative professional training and certifications a plus

Scope of Authority:

Processes and reconciles invoices
Negotiates meeting arrangements
Defined procedures cover most duties

Work Conditions:

Light physical effort is typically required by handling objects up to twenty pounds occasionally
Requires regular and reliable attendance
Potential for tight deadlines or time periods of high workload might require additional hours
Primarily sedentary work with regular exposure to computer screen and keyboard
Some travel required via automobile
May be required to work weekends, nights, or be on-call as a regular part of the job
