Responsible for providing complex and confidential administrative support to the Chief Financial Officer within the Financial Services Department to include calendar and correspondence management, compiling documents and preparation for meetings, event/meeting coordination, and reconciling budget and expense reports. Serves as a primary point of contact; screens and prioritizes correspondence. Prepares meeting summaries and relays direction from the Chief Financial Officer to leadership, employees, other departments, and other agencies.
Performs complex and confidential administrative support to the Chief Financial Officer; administers confidential processes and related files; prepares, tracks, and/or coordinates documents and forms.
Assesses the urgency and importance of tasks, takes appropriate action, and recommends solutions to leadership. Conducts research as directed; identifies and evaluates current needs and assembles materials as needed.
Manages the Chief Financial Officer’s calendar and correspondence to include scheduling appointments/meetings and receiving, screening, and prioritizing calls correspondence.
Responsible for coordinating meetings and strategic activities with El Paso County staff and external agencies on behalf of the Chief Financial Officer and Financial Services leadership; proactively provides meeting materials. Prepares meeting summaries and relays direction from the Chief Financial Officer to leadership, employees, customers, and other agencies as appropriate.
Coordinates, schedules, and organizes events and meetings to include travel, conferences, memberships, and staff trainings.
Designs and produces correspondence, memos, charts, tables, graphs, calendars, letterhead, and business plans; proofreads for grammar and layout, makes appropriate modifications ensuring accuracy.
Compiles and analyzes data from divisions within Financial Services; prepares and disseminates reports as appropriate.
Establishes and maintains filing and office management systems, to include general correspondence, forms, reports, and confidential information.
Ensures, in the Chief Financial Officer’s absence, requests for action and information are furnished to leadership and/or other departments in a timely manner. Identifies and troubleshoots problems; recommends and implements solutions.
Monitors the status of all tasks assigned by the Chief Financial Officer, ensures timely completion of assigned tasks.
Responsible for purchasing, ordering, and maintaining office supplies. Generates and processes financial documents as needed.
Maintains petty cash drawer. Accurately disburses, reconciles, and accounts for all petty cash for the Financial Services Department.
Reconciles original budgets to revised budgets. Manages expenditures, supplemental appropriations, and internal budget transfers. Compiles, analyzes, and disseminates financial reports to appropriate parties, such as the Colorado Department of Local Affairs.
Provides administrative support to leadership as needed. Prepares El Paso County Board of County Commissioners (BoCC) agenda items, agenda summaries, and resolutions related to budgetary matters. Publishes items as required by law.
Oversees and completes special assignments and projects as needed.
Performs other duties as required.
Qualifications
High school diploma or equivalent education required. Associate’s degree or higher in business administration or related field preferred.
Minimum four (4) years administrative support or office management experience required. Six (6) years executive level administrative support experience preferred.
Must possess excellent customer service, organizational, planning, and administrative skills.
Must be able to handle sensitive information and maintain confidentiality.
Ability to work independently with minimal supervision and in a team environment.
Ability to establish and maintain effective working relationships among internal and external agencies including staff, executive leadership, elected officials, and the public.
Ability to communicate effectively, both verbally and in writing, ensuring proper grammar, spelling, and punctuation with strong attention to detail.
Ability to conduct research and present data in a succinct and well-written manner.
Ability to perform all duties and responsibilities in a timely and effective manner to achieve the overall objectives of the position.
Ability to use standard office equipment including computer, fax machine, copier, and telephone. Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint as well as data management systems.
Maintain regular and punctual attendance.
Must pass conditional post offer background investigation, motor vehicle record check, and drug screen.
Licenses/Certificates
Must possess and maintain a valid Colorado Driver’s License.
Work Conditions
Work is primarily performed in an office environment; some travel may be required.
