The department

Janus Henderson offers expertise across all major asset classes, with investment teams situated around the world. These dynamic teams are structured and operate in ways that are best suited to their asset classes and manage products designed to meet a range of investor needs globally. We do not impose top-down house views; instead we allow an appropriate level of flexibility within a controlled environment and encourage the sharing and debate of investment ideas. Our Investment teams are grouped under: Equities, Fixed Income, Multi-Assets and Alternatives.

Overview of the role

Responsible for providing high level administrative support to executive or senior level management. Makes administrative decisions and takes action in the executive’s absence. Proactively relieves senior staff of many administrative details. Tasks may include: drafting correspondence, reports and presentations, coordinating meetings and special events, handling telephone calls, making travel arrangements, opening and responding to mail, database management, and maintaining files. Typically takes independent action in completing tasks, and exercises independent judgment and discretion.

Duties and responsibilities

You will:

Perform a wide range of administrative tasks for executive or senior level management. Tasks may vary depending on specific business unit requirements.
Prepare specialized presentations, including preparing charts and graphs as required.
May coordinate budget development, including coding items and collecting and compiling data.
Assist with miscellaneous clerical tasks, including data entry, ordering office supplies, copying, and faxing.
Routinely privy to sensitive material, including establishing and maintaining confidential files.
Routinely manage and coordinate departmental projects from implementation through completion.
Open and review mail, and typically responds to various items independently without direction from management.
Answer and screen incoming telephone calls ensuring a high level of customer service. Typically researches and responds to inquiries independently. Acts as liaison between managers and clients.
Draft confidential documents and reports which may complex in nature. Maintains databases and generates reports as required.
Coordinate and sets the agenda for meetings, schedules appointments, coordinates events, makes travel arrangements, and prepares expense reports as the need arises.
May provide direction and review the work of lower level staff.
Coordinate and orders daily lunches for a large group.
Carry out additional duties as assigned.

Technical skills and qualifications

Excellent interpersonal and customer service skills.
Strong clerical and administrative skills.
Advanced digital literacy, including MS Word, Excel, PowerPoint, databases.
Excellent organizational skills with the ability to prioritize and balance multiple tasks independently.
Strong verbal and written communication skills.
Excellent attention to detail.
Strong problem solving skills.
Ability to maintain confidentiality.
High School diploma or GED required; college degree preferred.

Competencies required

In addition to putting clients first, acting like an owner, and succeeding as a team, the competencies for this role include:

Three to Five years administrative support experience required, with some experience supporting senior management.
Overtime may be required on short notice and may include weekend, holiday, and evening hours.
Basic office equipment, including PC, telephone, copier, fax machine, etc.
PC usage up to 100% of the time.

Ongoing competence in the role to be assessed, in line with applicable regulatory requirements, by:

Annual performance appraisal.
Completion of all assigned compliance training.

Compliance requirements

At a minimum the role will require you to:

Place the interest of Janus Henderson’s Clients first, act in accordance with TCF (Treating Customers Fairly) principles.
Understand and follow laws and regulations applicable for your role, seeking the help of your supervising manager or Compliance if additional guidance is required.
Understand and abide by all Janus Henderson policies applicable to your role, and seek support/guidance of the policy owner guidance when required.
You are ultimately accountable for your actions and responsible for seeking further information on any or all of the above as necessary.

Compensation Information

The base salary range for this position is $70,000-$75,000. This range is estimated for this role. Actual pay may be different.

Annual Bonus Opportunity: Position is eligible to receive an annual discretionary bonus award from the profit pool. The profit pool is funded based on Company profits. Individual bonuses are determined based on Company, department, team and individual performance.
