Work to ensure that the CEO is optimizing his time based on what is most aligned with company priorities and the needs of the teamBe the “go-to” person for internal and external activities involving the CEOCollecting and driving a list of key decisions the CEO needs to make each day, such as: things that need to be signed, documents to be reviewed, important emails to be read and processed, invitations, deadlines, reminders, etc.Ensure that the CEO is prepared for meetings by conducting research and synthesizing lots of information from various sources into easy to understand briefingsManage the CEO’s inbox and communicate directly, on behalf of the CEO, with external and internal stakeholdersAssist the CEO with ad hoc projects and tasks as needed, including the coordination of team activities and booking travelCreate and manage internal company-wide processes as the company grows (e.g. ensuring we have a robust internal company wiki that is consistently used, organizing our Slack, etc.).Coordinate our weekly company All Hands meeting by ensuring that relevant team members have populated their content, managing the calendar of weekly “spotlights”, etc.Design and implement the CEO’s operating cadence with the team (weekly meetings, one-on-ones, off-sites, board meetings, etc.)Anticipate needs of the CEO and the organization and act as a resource to help support critical business activitiesSupport onboarding of new employees joining the teamWhat we are looking for: Based in Toronto3+ years of experience as an Executive Assistant within a professional services firm or to a C-level executiveHighly proficient in Google Suite, Slack and ZoomCurious, cheerful, intuitive, and relentlessly resourcefulSelf-motivated, proactive, and able to work under minimal supervisionAmazing communicator with excellent writing skills (you should be a better writer than the CEO)Organized, extremely detail-oriented, and process-orientedGreat listener. Strong at processing input and converting into action itemsProject manager who rolls up their sleeves and keeps the (many) trains running on track and on timeHigh integrity – you understand the value of confidentiality and pride yourself on being trustworthyA desire to truly understand our business, the various personalities and teams, and the systems that we use, so that you can effortlessly navigate the company to achieve whatever your mission is at the timeFlexibility and desire to work in a fast-paced startup environment.
