Position Summary

We are hiring an Executive Assistant (EA) to the Chief Executive Officer (CEO) and Founder of Yes Energy. The Executive Assistant will partner with the CEO in leading the business effectively through collaboration and communications with the Executive Management Team (EMT) and other internal and external leaders. The EA will own the CEO’s calendar, travel logistics, leadership meeting scheduling, facilitating communication, and other administrative duties as required.

Key Responsibilities:

Proactively schedule, prioritize and manage the CEO’s calendar to facilitate effective utilization of time.
Develop and maintain a master EMT calendar including all events and meetings requiring EMT attendance; requires continuous coordination and communication with EMT members.
Coordinate, plan and execute routine & ad hoc meetings inclusive of EMT staff meetings, strategy sessions, project updates, financial review, and company communications inclusive of logistics, material, and site preparations on behalf of CEO.
Read, organize, and prioritize communications for action/follow up; prioritize communications and responses based on inbound communications. Manage responses on behalf of CEO, when appropriate
Prepares and researches presentations, emails, announcements and other correspondence and reflects the executive’s style and professionalism when doing so.
Prepare for, develop materials, consolidate information, and capture updates for planning and review for EMT meetings; coordinate and disseminate actions from meetings; follow up and provide updates to CEO.
Applies the utmost discretion given exposure to the most sensitive company information to which others within or outside the company may not be privy.
Reflects the executive’s style and company culture when carrying out activities.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
Maintains a high level of service even when directing inquiries away from the executive to help better manage their calendar and activities.
Arranges corporate travel and meetings by developing itineraries and agendas, booking transportation, arranging lodging and meeting accommodations.
Perform light personal assistant responsibilities such as running errands, coordinating personal appointments and arranging travel – generally eliminating blockers to effective use of time and getting all the important things done.
At times, communicate messages on behalf of the CEO or the EMT to the rest of the staff electronically or in presentation form.

Must be a firm believer that work is important and fun, both
Strong executive presence with exceptional communication skills (written and verbal)
High degree of business curiosity; quick learner with a proactive and agile mindset comfortable with change and successfully managing competing priorities
Demonstrated experience in time management and prioritization skills specific to complex situations
Strong customer service orientation and the ability to work proactively across diverse populations including executives, advisory board members, customers, and the general public
Demonstrated ability to navigate a matrixed and highly collaborative environment to resolve conflict and gather necessary pieces of information timely and effectively
Strong experience Google Suite products and developing Google Slides presentations and utilizing virtual conferencing platforms
Builds rapport with all kinds of people inside and outside the organization
Strong bias to action and ability to work both quickly and to a high quality in a fast-paced environment
Ability to travel as needed, up to two weeks per year.

Education/Experience

Minimum of 5+ years of experience as an Executive Assistant reporting directly to senior management

Compensation and Benefits

Base Compensation Range: $70,000 – $90,000

In accordance with Colorado law, the range provided is Yes Energy’s reasonable estimate of the base compensation for this role. The actual amount may be higher or lower, based on non-discriminatory factors such as location, experience, knowledge, skills and abilities.
