Job Description : Food Bank Programs CoordinatorThe Mississauga Food Bank’s (TMFB) vision is a* Mississauga where no one goes hungry.* We relieve hunger in Mississauga by providing and promoting access to healthy food for people in need.Job PurposeCoordinate and oversee the daily operations of the Food Bank 2 Home (FB2H) homebound client food delivery program, On Site food bank and other related initiatives. Support the sustainable growth of the programs to meet the increasing demand.Key Performance AreasProgram Coordination (65%)Coordinate all logistics and scheduling for both the FB2H and On site food bank programsCoordinate food deliveries with volunteer leads and volunteer drivers. Coordinate new client delivery days and routes and update them in the system. Follow up with missed deliveries or any delivery issues.Ensure the correct setup of digital client registration tools and information systems, optimizing as necessary. Follow up on new client registrations, collect client information, determine program eligibility, and complete food order forms. Inform new clients of the guidelines of the programOversee and coordinate on site food bank service delivery ensuring adequate inventory and service standards are metCoordinate and spot-check food distribution and ensure clients are receiving appropriate food orders/hampers aligned with TMFB’s Canada’s Food Guide standardsEnsure adequate supply of inventory and supplies for the programs, seek out new supply vendors as required, and submit necessary invoices or receipts in a timely mannerTrack and order food and supplies as required, following budgetary and program guidelines maintaining cost controlEffectively use Link2Feed (cloud-based client database) SalesForce and other resources by ensuring timely and accurate input of data and conducting analysis for qualitative improvement to improve the outreach of the program and for reporting to various stakeholdersIdentify opportunities to improve client experience, optimize resources, and feed more hungry neighbours. Implement changes as resources allow.Lead and complete annual client and volunteer surveys to monitor program satisfaction and and manage outcomesPartner with the marketing team to identify and utilize appropriate channels to promote the program to potential clientsStrive for sustainable solutions in program deliveryCoordinate and support other food bank program initiatives as requiredVolunteer Supervision (25%)Supervise and lead volunteers in FB2H and on site food bank programs to coach, motivate and guide them in their dutiesCollaborate with the Volunteer Coordinator to recruit, orient, schedule volunteers for the programsLead volunteer training sessions to ensure all volunteers are able to execute their areas of responsibilityConduct regular communication meetings with volunteers to receive feedback, reinforce processes and support desired outcomesDirect volunteers to prepare orders and ensure that client needs are met to be the best of our abilityProvide volunteer drivers with information and routing for the daily deliveries, use provided systems and tools to manage client service needsNotify packaging volunteer leaders about any delivery cancellations or changesOther Duties as Assigned or Required (10%)Attend monthly staff meetings and other departmental meetings as neededSupport other staff and activities of The Mississauga Food Bank, as required.Education and ExperienceA college certificate/diploma or university degree in a relevant field2+ years experience, preferably in a program coordination role in a non-profit/charityExperience supervising staff and volunteersExposure to understanding and accommodating clients with special needs is an assetSkills, Competencies, and QualitiesPassion.
