Job Description : General Summary
Provides access and information to the public regarding The Collective Community Arts Center on evenings and weekends. Serves as the building docent, welcoming people, explaining current exhibit, and distributing information about area arts and cultural opportunities; may assist with clerical and organizational tasks in support of the goals of the Arts and Cultural Resources Department. Serves as first point of contact for people visiting The Collective. Dependability is a key aspect of this position. The ability to translate written and spoken Spanish into English is desirable. This position will average 16 hours per week.
The typical hours weekly:
Wednesdays 3:00 – 5:00 p.m. attend weekly staff meetings Fridays 3:00 – 7:00 p.m.
Saturdays 9:45 – 5:15 p.m. OR Sundays 11:45 a.m. – 5:15 p.m. – may alternate of shift over time
May be required to extend hours on Friday for events coverage.
May be asked to fill in additional times to cover The Collective on an occasional basis.
May be asked to assist with off site events such as Art Night Out.
Essential Functions
The following duties are illustrative only and are not intended to be all inclusive:
Perform routine office duties as needed, i.e., typing, answering phones, and copying material and other front desk tasks; track inventory and supplies necessary for front desk operations.
Provide program and facility information to the public.
Oversee the security of the facility including being a key holder, locking doors, enforcement of facility and programming policies and procedures, ensure a clean and safe environment for activities that take place within the facility; respond to emergency situations.
Responsible for opening and/or closing of the facility; perform room set up and tear down as needed; perform basic maintenance of building and equipment as needed.
Operate computer, copier, and other standard office equipment.
Proficient with Microsoft Office software
In the future may perform cash out, balancing revenues with receipts.
Ability to multi-task
Support other staff with front desk operations fulfilling immediate customer needs.
Process reservations for The Collective, Festival Plaza, and the Starkey Building
Update and maintain calendars
Assist with social media and newsletter marketing efforts
Deliver departmental promotional materials to designated locations
Assist with hanging of rotating art displays
Perform related work as required and assigned.
Typical Qualifications
KNOWLEDGE: Working knowledge of modern office practices, procedures, and equipment including a computer. Knowledge of customer relations techniques, i.e., fostering a positive attitude, maintain a courteous, helpful and professional demeanor. In depth knowledge of the principles and procedures of clerical and office tasks.
SKILL: Demonstrated skill in the operation of equipment necessary to perform the job functions.
ABILITY:
Effectively meet and interact with the public and manage stressful situations; follow both verbal and written instructions; issue clear concise verbal and/or written instructions to other employees and report operations verbally or in written form to superiors. Perform multiple tasks at relatively the same time; concentrate on detail; analyze situations thoroughly, identify potential problems, and find effective solutions. Respond tactfully and courteously to the public in answering questions; perform general clerical work involving the use of independent judgment and personal initiative.
Special Requirements
The ability to speak, write and translate between English and Spanish is highly desirable.
