General Summary The kidsLINK Afterschool Program is a program of the Greater Gallatin United Way and functions to deliver direct service of afterschool programming in partnership with school districts, community-based organizations and the Montana Office of Public Instruction.The Program Director is responsible for all aspects of programming: hiring, training, and supporting staff; developing and instituting curriculum; being the “voice and face” of kidsLINK as the primary program representative for kidsLINK-related communications, grant writing and fundraising; establishing and facilitating program partnerships; and nurturing relationships with families. A regular onsite presence with kidsLINK programs is expected and integral to the success of the kidsLINK Afterschool Program and the kidsLINK Program Director Position.Essential Duties and Responsibilities Supervision of Programs Ensure all site-based kidsLINK Afterschool programs have what they need for their program, including adequate facility spaces, competent staff, supplies, access to student data, social-emotional-learning (SEL) support, enrichment activities, literacy and homework help, healthy snacks and nutrition education, plenty of varied physical activity and family engagement. Because most kidsLINK Afterschool programs take place in schools, it is essential that this position maintain strong relationships with schools and school district leaders through regular communications and meetings with school district administrators and school principals, annual/quarterly presentations at school board meetings, updated MOU’s and trouble-shooting as needed. Support school districts in recruiting, hiring, and training kidsLINK Program Coordinators and support staff. Recruit, hire, train and place roving kidsLINK staff hired directly by GGUW. Inspire and support staff to serve their students healthy and appealing snacks. Ensure all program staff have the training, cooking tools, recipes, and food supplies needed to teach students the basics of preparing quality snacks. Encourage Program Coordinators and staff to teach organized physical activities, games and well-supervised playground time. Provide ideas, curricula and materials for academic / literacy / STEM support, homework help and enrichment activities. Shop for needed supplies.Through regular program site visits and monthly/bi-monthly Community of Practice (CoP) staff gatherings, as well as phone and email correspondence, the Program Director will guide kidsLINK site Program Coordinators and support staff in developing and maintaining quality in all aspects of their programs. Provide Program Coordinators with instruction in management, expectations, scheduling, recordkeeping, as well as supporting them to work with their staff. Offer professional development, training and feedback for Program Coordinators and support staff. Secure venues for kidsLINK trainings, program activities and events.Provide Program Coordinators with current evidence-based practices and curricula for out-of-school-time (OST) programs, including social-emotional learning and trauma sensitive program management. Be familiar with the GGUW 6 tenets of our kidsLINK Afterschool Program, the 40 Developmental Assets, the 8 Essential Elements of a quality program, and/or other current SEL-based frameworks for out-of-school-time programs. Apply understanding of these frameworks appropriately to program sites. Enrichment Activity & School Partnerships Engaging enrichment activities that spark students’ interests is a crucial element of kidsLINK programs. The Program Director actively seeks out new partnerships and develops relationships with a wide variety of enrichment activity providers such as MSU Tech Clubs, MSU Book/Literacy Clubs, Gallatin Valley Farm 2 School, Gallatin Valley YMCA, The Compassion Project, Montana Mindfulness Project, Raptor Center, Snapology, Code 406. Invite enrichment activity partners to provide specialized content programming in appropriate kidsLINK programs. With the kidsLINK Operations Director, maintain systems for meeting any financial obligations with partner programs. When invited and workload permits, work with MDI – Dietetic Internship placements (usually the first 2 weeks of September). Program Director’s role is to lead and assist in the interns developing a sound project that would serve both the Afterschool Programs in terms of nutrition, budgets and overall effectiveness of program delivery as well as serving GGUW in its aim to have a workplace informed by wellness through nutrition. Attend meetings and trainings with partners: MSU Book/Tech Club orientations 2x/year; meet with school Parent Advisory Councils (PACs) to present budgets, program metrics, and requests for financial contributions; attend events to promote kidsLINK Afterschool such as presentations for Rotary, Elks Lodge, city council, school boards, etc. School Partnerships: Welcome and train new afterschool programs in Gallatin, Park, Madison, and Meagher counties who partner with kidsLINK Afterschool. Support them in providing out-of-school-time programming at their site(s) with curriculum training, funding, budget, guidance, training and other opportunities for building community with other programs in the region. Communications kidsLINK Afterschool values relationships with all members of a student’s team. While the primary contact for a family in the afterschool program is the Site Program Coordinator who has firsthand experience with the student, the GGUW kidsLINK Afterschool Program Director supports and communicates with families in a variety of ways. The kidsLINK Program Director provides families with information about the program; connects families with site program staff; and arranges supports and interventions for special needs of students.The Program Director assists the kidsLINK Operations Director with enrollment; data tracking for school year and summer programming and makes student referrals for summer programming and other family support services. Coordinate with the District and Principals to ensure programs have what is needed including space for the program, SEL support, enrichment activities, literacy and homework help, nutrition, physical activity, and parent engagement.Maintain robust weekly communication with Bozeman and Belgrade Program Coordinators. Maintain regular communication with our partner sites. Work with principals around any issues of concerns for behavior, special needs children or staff needing extra support. Present at kidsLINK fundraisers, GGUW events, and other official venues when needed.Assist kidsLINK Operations Director with public communications such as newsletter, blog, website narrative, and social media. Fundraising and Grant Writing Cultivate relationships with donors and other funding partners to ensure diverse and adequate funding is available to support kidsLINK programs.Be the voice of kidsLINK Afterschool – Present stories and information about kidsLINK alongside the GGUW CEO and Director of Donor Engagement.Assist with planning for GiveBIG and other fundraising events. Understand grant requirements and maintain the program goals and standards to align with grants.Work with Site Program Coordinators and other site partners to meet grant and fundraising goals. Primary lead on writing narratives for grants including the 21st Century Community Learning Centers grant, private grants, and other public grants. Assist kidsLINK Operations Director with data collection and management for grants. Secondary lead (alongside the kidsLINK Operations Director) on managing the 21st Century Community Learning Center (21st CCLC) grant administered through the Montana Office of Public Instruction (OPI) for kidsLINK Afterschool Program sites that receive 21st CCLC funding. The kidsLINK Program Director will:Organize a regional educational meeting with potential applicants for 21st CCLC funding and determining a plan for submitting collaborative, regional consortium grants.Support site Program Coordinators to create and deliver their 21st CCLC action plans and budgets. Document specific budgets and program activities (according to OPI program goals and outcomes)per 21st CCLC program site. Be familiar with State and Federal Grant guidelines (e.g. ESSA – Every STudent Succeeds Act)Primary lead writer of grant narratives for 21st CCLC grant.Coordinate with the kidsLINK Operations Director on data needed for the grant and submitting the grant application for 21st CCLC funding and grant applications for subsequent, supplemental funding opportunities that may be available related to 21st CCLC funding. In coordination with the kidsLINK Operations Director, co-administer 21st CCLC evaluation tools: parents, teachers, administrative staff, kidsLINK program staff surveys. The Operations Director will be in charge of the technical aspects and data analysis of the survey project and Program Director will be in charge of communications and motivation for survey completion. Prepare for OPI 21st CCLC Site Monitor Visits (2x per 5-year grant cycle)Attend local, regional and state 21st CCLC trainings both virtual and in-person as required and recommended by the OPI. Maintain correspondence with OPI 21 CCLC Program Director and Data SpecialistCoordinate with the kidsLINK Operations Director and the OPI to ensure that our 21 CCLC sites are maintaining a high quality of performance in all areas. Required Qualifications, Skills, and Characteristics Education and Work Experience Qualifications: Minimum 8 years combined higher education, work and volunteer experience that strongly and clearly demonstrates competency to oversee out-of-school-time programs, train and support staff, and be the lead representative and “voice” for the kidsLINK Program with schools, partners, donors, parents, and the general public. Travel Travel is primarily during the business day to kidsLINK and partner sites in Gallatin, Park, Madison, and Meagher counties, though some evening and weekend travel should be expected. Travel to conferences throughout Montana and out of state (e.g. Florida, California) is also required several times per year.
