Job Description : The Office Administrator role is a key position within LIV Sotheby’s International Realty. This job sets the daily office tone and energy. This role will assist Managing Brokers with ongoing business planning with agents, including pulling reports, scheduling meetings, and follow through on agent success plans. Additionally, this position entails coordinating all front desk responsibilities, exemplifying a high level of customer service, general broker support, office presentation, marketing support, assistance with business planning, and building culture. Each office has defined additional services for the company and is outlined in office-specific job addendum.

Job Specific Requirements

Prior real estate experience is a must – minimum of one (1)) year experience
Real estate license is preferred, or willingness to obtain license
Must be able to work well in a fast-paced environment
Excellent interpersonal, verbal and written communication skills
Strong work ethic to handle multiple requests with exceptional follow through and time management
Team player with a positive, solution oriented and results driven attitude
Demonstrate desire to proactively help and serve agents and meet the needs of the office
Understanding of transaction management service and local Multiple Listing Service a plus
Proficient in Microsoft Office Suite w/ good understanding of Outlook and use of CRM

Job Responsibilities Include:

Administrative support for Managing Broker
Support and provide all on-boarding and orientation services
Assist with business development projects as needed for leadership
Understand and have access to monthly floor schedule for brokers
In-house resource for all company utilized platforms: showing service, local MLS, in-house Marketing software, Access, LIV Media Portal, Office 365, Source, LIV Suite, transaction management service, and multiple listing services as applicable by office
Responsible for issuing and tracking all parking in the office as applicable
Point of contact for all brokers and all office related issues/duties
Work with Managing Broker to create powerful sales meeting content
Send weekly sales meeting report to Operations for training review
Supervision and training responsibilities of office support staff including hiring, performance review, and termination responsibilities
Assist with creative event planning, coordination and execution of various events hosted by company
Lead broker meetings and trainings when needed
Manage vendor relationships and supply inventories for office
Liaison for all office building management services
Support and encourage LIV’s Mission and Vision

Compensation & Benefits

Salary Range dependent upon experience
In addition to base pay, LIV SIR provides employees with the opportunity to select coverage under a comprehensive benefits program including medical, dental, life, accidental death and dismemberment, short term and long-term disability, 401(k) and other plans.
Full-Time employees are eligible for PTO in accordance to our Paid Time Off Policy.
Hours are 8:30 – 5:00PM, 5 days per week including weekends and weekdays

Pay: $70,000.00 – $80,000.00 per year
