Position : Office and Education Administrative Assistant

Job Description : General Overview:
This position provides administrative support across all departments of the AAM, with specific responsibilities within the Education Department. The EAA is a member of the education team and directly supports the work of three full-time staff, part-time educators, and teaching artists. Other general office will be required in this role, including management of general office operations, and support to other departments when applicable. The focus of this position is to streamline museum processes, support Education Departmental needs, and learn more about overall museum operations.

Administrative/Office Responsibilities:

Answers telephones and directs callers to appropriate staff members.
Provides callers with general information such as museum address and hours, directions, fax number, exhibitions on view, upcoming public programs or events, museum website, and other related information.
Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.).
Assists in the ordering, receiving, stocking, and distribution of office supplies.
Coordinates service and replacement for office equipment (phones, fax, printers, copier).
Maintains order and organization of the office equipment area, including inventory of supplies
Assists with other related clerical duties such as photocopying, faxing, filing, and collating.
May answer routine correspondence.
Other duties as assigned.

Education Responsibilities:

Work closely with and provide administrative support for three full-time and several part-time staff including: the Director of Education and Community Programs, the Public Programs Manager, and the School, Youth, and Family Programs Coordinator, as well as teaching artists and part-time educators.
Manage public tour scheduling and registration utilizing Altru.
Coordinate all public tour information with the Guide and Visitor Services Manager.
Schedule and create agenda for regular education team meetings.
Work closely with the DoE to monitor budgets and reporting as needed.
Provide administrative support for regularly scheduled professional development and trainings of museum educators and teaching artists.
Provide administrative support for board education about the Museum’s Education Programs.
Coordinate between the education team and the Marketing team to promote and market the Museum’s educational programs through the web, social media, and print.
Support the education team’s work on education-related funding grants, contracts, and budgets.
Give tours as required.
Teach workshops, classes, and support education department events.
Provide support for exhibiting artists projects.

Knowledge, Skills, Abilities:

Experience in education, arts, and culture, preferably in art museums and community-based settings and/or its career experience equivalent.
Demonstrated management, budgeting, and collaborative skills.
Demonstrated success and experience working and thriving in culturally diverse settings.
Excellent oral and written communication skills.

Strong cultural competencies and sensitivities, consciousness of cultural identities and difference, committed to intersectional thinking and practice.
Strong systematic and logistical thinking, able to troubleshoot, examine problems from multiple angles.
Language skills in addition to English desirable: ASL, Spanish, Mandarin, Cantonese, Arabic.

Hours and Work Schedule:
This is a salaried position requiring availability from Monday through Friday, 9 a.m.–5 p.m. This position is exempt from the Fair Labor Standards Act and will not receive overtime pay for all hours worked in excess of forty in a seven-day workweek or over twelve hours in a day. Occasional night, weekend or holiday scheduled work is to be expected.
