Job Description : POSITION: Office CoordinatorWORK LOCATION: This role will be performed most days from our Oakville office, with the option to work remotely once per weekCOMPENSATION: $48,000-$55,000 commensurate with experienceDavid Small Designs is an award-winning custom home design firm, with a 25-year history. We are the leading company in our industry in the GTA, and currently growing. We are seeking an experienced Office Coordinator to join our team.POSITION SUMMARYReporting to the Business Manager, the Office Coordinator is responsible for organizing and coordinating office processes and performing general office administration duties in our busy architectural design firm. He or She is the first point of contact for visitors to the office, and answers phone and email inquiries. The Coordinator also provides back up coverage to other staff members when they are out of the office.RESPONSIBILITIES: · Oversee and perform administrative duties in the office and ensure that the office is operating smoothly· Perform receptionist duties: greet visitors, answer and direct phone calls, maintain call logs· Manage and maintain multiple calendars· Maintain office supply inventory and place orders as necessary· Receive and sort incoming mail and deliveries and manage courier services and outgoing mail· Propose/develop office policies and procedures, opportunities for improvement, and organize and manage implementation· Manage and maintain IT infrastructure; responsible for equipment tracking, arranging for maintenance, deployment· Assist the Business Manager with accounting activities as required (Quickbooks)· Cross train with other departments to provide occasional coverage during staff absences· Provide other administrative support as necessary, including scheduling group meetings, maintaining calendars, conducting research, creating reportsREQUIRED EDUCATION, EXPERIENCE AND SKILLS: · University Degree, College diploma or equivalent combination of education and experience· 3-5 years’ previous experience in an office administration or reception role· Advanced computer skills – MS Excel, Word, PowerPoint (Quick Books Online would be an asset)· Professional and polite- able to relate well with clients and co-workers· Ability to work independently, quickly assess situations and offer appropriate solutions to inquiries· Excellent verbal and written communication· Detail oriented with above average organizational skills· Strong problem-solving skills and analytical abilities· Positive “can do” attitude and self-starterIf you meet the above qualifications and are interested in working for a company with an outstanding culture and work environment, please submit your covering letter along with resume.We thank all applicants; however only those selected for an interview will be contacted.David Small Designs provides accommodation for applicants with disabilities, available on request during all aspects of the selection process.Job Types: Full-time, PermanentSalary: $48,000.00-$55,000.00 per yearBenefits:Dental careExtended health careWork from homeSchedule:8 hour shiftMonday to FridayCOVID-19 considerations:We are limiting the amount of staff working in the office at any given time, and continuing to follow all recommended safety protocols.Experience:Office Administration: 3 years (required)Work remotely:No
