We’re looking for a Publishing Assistant to join our Penguin Canada team.
You pride yourself on your keen attention to detail and organizational skills. You work well both independently and as a member of a fast-paced team. You’re passionate about books and interested in learning more about how we create and bring them to life. You live in Toronto, Ontario. Does this sound like you? Your contribution:
At Penguin Canada, we publish a wide range of fiction, non-fiction, and lifestyle titles. Reporting to the Publisher and Associate Publisher, you will help support the books across our imprint.
We are looking for someone based in Toronto, Ontario with exceptional attention to detail and strong follow-up skills who will be able to prioritize and handle several projects at once.

A commitment to understanding and anticipating the needs of our team is of paramount importance. Well-developed project management skills are required for this role, as are a passion for learning more about the book industry and an enthusiasm to support our editorial team and authors.
The successful candidate will be a highly organized, detail-oriented self-starter committed to meeting deadlines, with an ability to proactively ask questions and multitask. They should enjoy reading broadly.
What you’ll do:
Maintain and update databases, including for contacts, contracts, submissions, and acquisitions.
Relay contract information from the Editorial team to the Contracts department using our in-house system.
Oversee and maintain the publishing schedule.
Provide general and administrative assistance to the Associate Publisher.
Support seasonal launch initiatives.
Develop weekly imprint highlight emails.
Manage author and agent gratis copies.
Manage and train interns alongside the Editorial Assistants.
Supply backup support for the editorial team.
Copy editing and proofreading materials such as cover copy, jackets, endnotes, and excerpts.
Other duties as assigned, including administrative tasks including invoice processing, scheduling, research, image permissions, printing, scanning, filing, and note-taking.
Experience and knowledge you’ll bring (qualifications):
A combination of work experience (sales or customer service) and publishing education or experience preferred.
Excellent copy editing and proofreading skills.
Ability to work well in a team setting, as well as to work independently with minimal supervision.
An inclusive approach supported by cultural competency and a proven ability to collaborate with people from across a wide range of diverse backgrounds.
Strong prioritization skills with the ability to manage multiple projects on tight deadlines.
Familiarity with MS Office Suite and Adobe Acrobat Pro.
Enhanced knowledge, awareness, and experience with the culture and history of any community that has faced marginalization is considered a plus.
A thoughtful, enthusiastic reader with a critical eye and love of books.
We currently are permitting most employees to work from home; however, applicants for this role must be located within commuting distance of our Toronto office in anticipation of our eventual return to the workplace.
