Job Summary:
Fulfill first point of contact as Receptionist for our organization. This individual is expected to be customer focused, show flexibility and adaptability to meet our client expectations. The position includes the greeting of all visitors, handling all calls and re-routing to proper individuals, administration of visitor management system, processing day passes for security access and customer service ticket assignment administration.
What you will do:
Main Reception Duties
Greet and assist all visitors to HOOPP
Answer and redirect all calls as required to the appropriate personnel or groups
Opening and closing procedures of the desk
Responsible for lost and found
Visitor Management
Ensure proper registration of all visitors upon their arrival
Visitor Management System administration
Ensure all hardware equipment functioning properly
Maintain supply levels for visitor badges
Service Now Ticket Administration
Responsible for administering Service Incidents and Tasks received from ServiceNow system, assigning to appropriate Facilities staff member
Security Access Control
Administer day pass cards, providing to those staff, who have forgotten or misplaced their card
Monitor security cameras throughout HOOPP
Reception & Visitor Areas
Maintain overall appearance, tidiness of Reception and visitor waiting areas
Maintain publications for display
Reporting Assistance
Assist with monthly and or quarterly reports as required by Office Services and Facilities Operations
Provide data entry assistance when needed
Process documentation
Develop and maintain as required
Update Reception manuals, contact lists and other documents as required
Mailroom Assistance
Assist mailroom with bulk mailings assembly, as required
Other Administrative Duties
Assist with employee booking tool procedures
Perform other administrative duties as required to support Facilities Solutions & Services
What you bring:
Grade 12 diploma/ Community College diploma
2-3 years general office experience, including reception administration
Reception experiences an asset
Demonstrated professionalism
Proven interpersonal/communication skills
Excellent computer skills for administrative support
Strong attention to detail
Good decision-making skills
Ability to work with minimal supervision
Ability to support administrative personnel as required
Uphold highest level of confidentiality, handling of “sensitive and confidential information
