Metrolinx is connecting communities across the Greater Golden Horseshoe. Metrolinx operates GO Transit and UP Express, as well as the PRESTO fare payment system. Reporting to the Manager, Corporate Records and Information Management, our Records and Information Management office is looking for a Records and Information Coordinator to assist with the implementation and maintenance of the enterprise-wide Corporate Records and Information Management (RIM) program.

What will I be doing?
Provide advice to improve the effectiveness of the operational RIM program.
Provide support regarding the development of information management systems (i.e., OpenText, SharePoint).
Coordinate the corporate library portals and perform system administrator responsibilities, approve and coordinate new purchases of standards and serials, maintain records for budget purposes and produce statistical reports.
Manage paper and electronic records following corporate procedures.
Assist the RIM Specialist in all elements of developing an enterprise-wide records retention schedule, including supporting with researching legislation; legal; archival; audit and operational requirements. Also helping the RIM Specialist in establishing record classifications, security levels and disposition criteria.
Be an expert for operational records management issues, guiding departments, project teams and staff following established corporate RIM policies, procedures and industry best practices.
Analyze departments’ business processes and records and develop folder structures and file plans based upon them for network drives and other information systems. Develop metadata to improve document management and retrievability. Conduct records inventories.
Provide guidance to staff related to the records retention process to help ensure Metrolinx meets their legislative obligations for records retention. Receive retention requests for corporate documents, analyze content, and recommend final disposition per the Record Retention Schedule. Help identify the location and retrieval of information from active and inactive storage areas and archives; provide guidance to departments to transfer corporate records to storage, assess records for destruction together with approved retention schedules; and facilitate the final disposition process using already established guidelines.

What skills and qualifications do I need?

Completion of a three-year program at a recognized Community College in Records Management or Library Sciences, or an equivalent combination of education and experience.
Minimum four years experience in a library or records management environment involving the analysis and indexing of documentation, subject classification, records retention and archival practices in a legal or engineering environment.
Working knowledge of document and image management technologies, and Provincial and Federal Acts and Regulations related to library sciences practices, document/image retention, storage and retrieval management, including CSA/CSGB, ANSI/SIIM and ISO standards.
Experience inputting data into computer databases and retrieving such data using “Boolean” search factors. Continuing Education is required in records/document management, legislative and technical software courses to stay current with latest technologies.
