Position : Staffing Office Supervisor
Job Description : Job Overview: The Staffing Office Supervisor oversees the time and attendance performance of all staff at the Montana State Hospital. This position is heavily involved in staff schedule maintenance and approval of time off requests and is the first point of contact for all staff attendance inquiries. This position also participates in staff recruitment and selection activities.

Essential Duties or Responsibilities:
Supervision of Staff 60%
Provides supervision for non-licensed direct care staff and determines the need for, and secures, overtime staff in accordance with established guidelines and payroll/attendance tracking software.
Enforces Hospital policy primarily related to time and attendance with staff and utilizes problem solving techniques to promote optimal outcomes.
Participates in recruitment, selection and retention activities including interviews, application processing, hiring, and preparing progressive discipline documentation.
Represents the Hospital at recruitment events and assists in recruitment efforts.
Supervises daily staffing schedules and reports to reflect approved leaves, report offs, and hiring of overtimes to ensure accurate information for preparation of pre-payroll records.
Approves time sheets for licensed and non-licensed direct-care staff.
Provides on-site training for time and attendance policies and procedures; participates in onboarding staff in new employee orientation.
Acts as first point of enforcement for all staff attendance, including, but not limited to, tracking call offs for all staff, identifying potential disciplinary or medical concerns within staff attendance trends, creating staffing reports, identifying trends, and other management analysis functions.
Administrative Support 35%
Provides personnel support through tracking and maintaining administrative files such as, but not limited to, license verification, degree verification, and performance appraisals.
Provides appropriate documentation and acknowledgement of staff resignations.
Prepares documents for training classes, new employee orientation, meetings, and other staff support departments within Montana State Hospital.
Scans and files new hire paperwork, training documents, vacancy announcements, and other pertinent staff documents.
Enrolls and instructs new staff of expectations within the timekeeping system.
Assist in special projects for various departments throughout the hospital.
Other Duties as Assigned. 5%
Physical and Environmental Demands: Office conditions with time constraints and possible interruptions during work periods. Contact with hospital executive staff, team leaders, and clinical staff on all treatment units within the hospital. May include long periods of sitting and standing. Requires use of phones and other electronic communication devices, frequent contact with staff, the public, patients, and repetitive motion.

Maintains attention to detail and is thorough in completing work tasks
Prioritizes work assignments on a daily basis
Knowledge of basic payroll principals
Proficient in the use of computer software such as Word, Excel, and Outlook
Ability to use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.
Ability to deal with sensitive and confidential information and follow policy and procedure.
Effective communication with hospital staff
Ability to maintain objective judgement and decision making

Qualifications:
Minimum qualifications (Education and Experience):
High School Diploma or Equivalent
Two years of job-related work experience preferred
Two year’s supervisory experience preferred
Other combinations of education and experience will be evaluated on a case-by-case basis
