*SUMMARY*The Surgery Scheduler is responsible for scheduling ophthalmic surgeries at ambulatory surgery centers and local hospitals. Serves as liaison between patient and surgeon, facility, clinical staff, and surgery center/hospital staff.JOB RESPONSIBILITIES
Coordinates and maintains surgical schedule for surgeons
Interacts with patients, physicians, and other staff both within the Clinic and at outside facilities providing accurate and timely information
Schedules pre-op testing and appointments
Schedules post-op visits
Communicates with patients about:
Scheduling
Pre-Op and post-op testing and visits
Insurance requirements
Surgical consents
Cardiac clearance requirements (when applicable)
Facility ownership disclosure
Transportation requirements
Estimated patient financial responsibility
Financial hardship assistance
Contacts surgical facilities for scheduling
Ensures that necessary insurance eligibility and pre-authorizations are received in a timely manner prior to surgery.
For patients with no insurance or high patient responsibility, refers patient to the RMEC Patient Financial Counselor
Coordinate processes and routes all paperwork as required to meet physician, clinic, and surgery center/hospital requirements
Along with the physicians, develop and maintain process protocols
Maintains patient confidentiality
Attends required meetings
Consistently schedules surgery days to the mutual satisfaction of the patient, the surgeon, and the facility staff
Communicates with the patients in a manner that instills understanding and confidence about their upcoming procedure
Has a working understanding of ophthalmic testing including but not limited to A-Scans, IOL Calculations, photos, visual field testing
Understands characteristics of common anterior segment and oculoplastic disorders
Understands and communicates well with patients about ophthalmic surgeries, lasers, and oculoplastic procedures
Understands and follows procedures for surgical and procedural consents
Understands contracted insurance plans and procedures
Is energetic and empathetic with patients
Cooperates with supervisory staff and physicians
Demonstrates initiative in accomplishing practice goals
Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing.PERFORMANCE STANDARDS
Contributes to the effective and efficient performance of the department for the practice
Functions as a productive and positive member of the practice
Conforms to all RMEC policies and procedures outlined in the Employee Handbook including punctuality, attendance, and dress codes
Achieves cooperation and teamwork through effective communications and positive relations with staff
Adheres to the company code of conduct
*WORK QUALITIES*Position requires excellent communication skills and an understanding of ophthalmic practice and patient care. Must demonstrate attention to detail and documentation. Must be even tempered, ethical, and good humored. Must interface with all RMEC departments, physicians, and personnel.
*REQUIRED EDUCATION, LICENSURE, AND EXPERIENCE*
High School Diploma or GED
Three years’ work experience, preferably in a clinical or healthcare setting
Demonstrated skill in operating and navigating computers, software, and office equipment
Must have a valid driver’s license, current auto insurance and a reliable vehicle
Must be able to pass a criminal background check, MVR check, drug screen and OIG
Must be able to travel to other office locations as needed
Bilingual in Spanish a plus
*PHYSICAL/MENTAL JOB REQUIREMENTS*
Must be able to carry and lift items weighing up to 25 pounds
Must be able to speak clearly in small group settings
This position will require sitting for long periods of time, walking, standing, bending, and walking, as well as using fine motor skills, such as finger dexterity for typing, and using small hand tools
This position could be exposed to loud noises, frequent phone conversations, and requires average to above average visual acuity and hearing
Most of this job will be spent indoors in a climate-controlled environment
Must be available to travel to other office locations as needed
