Job Description : Position Overview
Replicon Inc. is looking for an Assistant Manager for Sales Administration to lead a team of sales administration assistants who provide operational support in execution of marketing, presales, and sales objectives. This individual will oversee sales administrative service delivery, optimize internal processes, recruit as needed, coach, mentor and develop functional skills and competencies, develop, and track qualitative and quantitative individual and aggregate performance metrics, in accordance with existing SOPs.
Responsibilities
Take ownership of, enhance, and optimize end-to-end sales and marketing data management processes in conjunction with sales and marketing stakeholders
Lead, mentor, coach, and guide a group of young, enthusiastic sales administrative assistants, to ensure high quality, timebound delivery of regular operations and adhoc project requests
Develop, document, and maintain internal SOP workflows, checklists, policies and work guides, aligned with external business process changes
Develop and/or optimize internal individual KPIs and how they are tracked, establish mechanisms to track stakeholder sentiment, and facilitate feedback loop with an objective of improving service delivery standards
Collaborate with stakeholders from other marketing and presales groups to scope out regular operations and special project deliverables, define SLAs, TAT, exception handling and escalation management procedure; internally drive project delivery as per predefined standards with emphasis on efficiency and time sensitivity
Identify process transformation opportunities, and recommend and implement solution and best practices to increase efficiency, efficacy, and savings
Develop and manage business continuity, contingency management, and resource scheduling plans; collaborate with internal support functions to ensure sales administrative assistants have access to the tools and resources to ensure little-to-no operational downtime
Identify opportunities to develop skills within the team, organize talent development workshops; organize regular feedback sessions individually and at large; drive contextual understanding and appreciation of the criticality of operational excellence within the group in meeting broader organizational goals
Qualifications
Graduation is a must, MBA is an added advantage
7+ years’ experience in marketing and sales operations/support/service delivery functions, with at least 2 years in people management roles
Strong focus on operational excellence, process orientation, data compliance; ability to design and drive operational checklists, process flows, and SLAs
Excellent written and verbal communication, interpersonal and conflict resolution skills
Strong business acumen, strength of character, people management and escalation handling skills
Expert/advanced level competency in MS Excel/Google Spreadsheets and hands-on experience with Salesforce as a business user; familiarity of working out of mailboxes and task queues
Strong ability to prioritize, organize, and delegate tasks and demonstrated ability to effectively multi-task in high pressure performance driven environments
Proven experience in resource planning, scheduling, allocation, and optimization
Ability to balance stakeholder experience and internal expectations
Broad understanding of modern inbound/outbound marketing strategy and concepts
Shift timing – North America; however, with team functioning 24/5, should be occasionally available to attend to exceptions and escalations off business hours
