Position : ADMINISTRATIVE ASSISTANT III (HUMAN RESOURCES)

Job Description : Under the supervision of the Manager of the Personnel Services Division, performs highly confidential duties related to processing employees returning from medical leave of absence and ensures appropriate documentation is received and forwarded to other offices or departments. Serves as a receptionist and performs clerical duties. Fingerprints and produces photo identification cards for employees, applicants and independent contractors. Assists manager in a variety of matters requiring sound judgment and a thorough knowledge of division operations. Performs other duties as assigned.

Minimum Qualifications

Possession of a High School Diploma or General Education Development (GED) certificate is required.
Five (5) years of full-time administrative work experience is required.

Graduation from an accredited college or university with an Associate’s Degree is required.
Three (3) years of full-time administrative work experience is required.

-OR-

Graduation from an accredited college or university with a Bachelor’s Degree is required.
One (1) year of full-time administrative work experience is required.

KNOWLEDGE, SKILLS, ABILITIES AND OTHER CHARACTERISTICS

Ability to maintain a professional demeanor while working with administrative, supervisory and professional personnel in the coordination or delivery of services as provided by the Personnel Services Division. Knowledge of the Health Insurance Portability and Accountability Act (HIPAA). Ability to perform specialized administrative work utilizing medical terminology and adhere to strict rules governing confidentiality and protection of client privacy. Ability to acquire a thorough knowledge of specialized administrative procedures and regulations particular to the Personnel Services of the Bureau of Human Resources. Ability to understand County rules, regulations and policies on medical return-to-work and on-boarding procedures. Ability to communicate effectively both verbally and in written format. Ability to interact professionally with others in a stressful environment. Knowledge of good office management principles; knowledge of good supervisory and training techniques. Ability to make sound decisions and carry out programs affecting one’s own work and the work of others in a changing work environment. Proficient in Microsoft Office Suite, Adobe Pro and other software applications. Good attention to multifarious detail; ability to proof, verify and edit complex data, transcribe and cross reference data from personal computer and documents. Ability to follow-up in a thorough and timely manner relative to unresolved business. Ability to exercise diplomacy, gather information from others and make inquiries; ability to convey information and explain or discuss office policy and procedure with others in person or by telephone. This position requires moderate physical activity, including, but not limited to lifting, pulling, pushing, and moving objects of light to moderate weight (i.e. files and boxes).

Physical Requirements
Light Work
Light Work involves exerting up to 20 pounds of force occasionally or up to 10 pounds of force frequently, or a negligible amount of force constantly to lift, carry, push, pull, or otherwise move objects. Even though the weight lifted may be only a negligible amount, a job/occupation is rated Light Work when it requires: (1) walking or standing to a significant degree; (2) sitting most of the time while pushing or pulling arm or leg controls; or (3) working at a production rate pace while constantly pushing or pulling materials even though the weight of the materials is negligible.
