JOB ANNOUNCEMENT: ADMINISTRATIVE COORDINATOR
Community Organizing and Family Issues (COFI) is a Chicago-based nonprofit that has created a unique, evidence- based approach, The COFI Way, to support the leadership development and organizing of low-income parents of color. The COFI Way is rooted in a vision of building a broad movement of parent leaders working for racial, economic, and educational equity and justice for families. Over the past 25 years, COFI has built the power and voice of thousands of Illinois parents to shape the public decisions that directly affect their lives.
Community Organizing and Family Issues (COFI) seeks an Administrative Coordinator for its Chicago office as it continues a return to on-site programming. The Administrative Coordinator’s primary function is to oversee administrative functions for COFI and is an ideal position for an extroverted professional who enjoys being at the center of day-to-day activity and engaging with visitors, parent leaders and staff. This is a fast paced role that covers a diverse range of duties across the organization and candidates that are eager to return to in person operations are encouraged to apply.
ESSENTIAL FUNCTIONS
1. Ensure coverage of administrative duties for the office, such as reception, mail systems and supplies2. Responsible for addressing any physical space issues, such as building maintenance and technical support requests3. Ensure business processes are covered, including personnel and fiscal processes, annual filings and managing business vendor relationships4. Coordinate clerical and logistical support across multiple departments
DUTIES AND RESPONSIBILITIES
1. Ensure coverage of administrative duties for the office

Ensure coverage of the front desk duties, including the supervision of the Program and Administrative

Associate

Ensure office mail system is operating and monitored on a daily basis. This includes both the physical mail as well as digital mail.
Monitor supply inventory system, process supply orders and ensure supply stations remain fully stocked

2. Responsible for addressing any physical space issues, such as building maintenance and technical support requests

Respond to any physical space issues, such as building maintenance or unusual incidents in a timely manner, ensuring that property management responds in a timely manner
Manage access to the office space and training and orientation to office systems, ensuring all staff receive the Office Handbook and any applicable keys, codes and training
Troubleshoot technical issues and liaison with COFI’s IT Support to resolve technical issues in a timely manner to avoid impact on operations or programming

3. Ensure business processes are covered, including personnel and fiscal processes, annual filings and managing business vendor relationships

Ensure that daily deposits and twice-monthly fiscal processes are scheduled and executed
Monitor that administrative paperwork is completed according to established schedule, including weekly timesheets and itineraries, and monthly expense reports, establish and keep personnel files and assist with processing payroll, as necessary.
Ensure administrative files are maintained, purged according to schedule and archived files are shredded as allowable.
Together with the Deputy Director of Operations, ensure that annual filings are executed according to schedule and manage business vendor relationships to optimize office operations.

4. Coordinate clerical and logistical support across multiple departments

Coordinate logistical support for COFI organizing meetings/trainings/events, including making copies, stuffing packets, registration, refreshments, travel arrangements, and set up/cleanup.
Monitor and oversee data entry functions such as maintaining mailing lists, data entry and preparing labels for general mailings and other program support for various departments, including updating

DonorSnap database.
REQUIREMENTS AND QUALIFICATIONS
At least 3 years’ nonprofit experience – preferably in social justice work.At least 3 years’ administrative experience – preferably with office management emphasis.Bachelor’s Degree preferred, High School Diploma required.Excellent executing skills, ability to multi-task in a fast-paced environment, be detailed and organized as well as flexible to shift from a broad range of responsibilities.Excellent computer skills with proficiency in Microsoft Office Suite and Google Suite, experience with accounting software and database management preferred; able to troubleshoot technical and computer issues.Skilled in building genuine relationships with a diverse range of people.Knowledge, understanding of and commitment to the empowerment of low and moderate-income families and experience working with diverse communities.English/Spanish bilingual desirable. REPORTING RELATIONSHIPS

Reports directly to the Deputy Director of Operations and Special Projects

CLASSIFICATION

Exempt from the Fair Labor Standards Act
Regular full time salaried position
Starting salary range is $49, 500 to $57,500 annually, depending upon experience (with generous benefits)
