Job Description : Position Title: Club Services Agent
Reports to: Assistant Front Office Manager and Front Office Manager
Position Summary: Responds to communications from members, guests, travel agents, referral networks and other departments concerning reservations and various inquiries. Creates and maintains reservation records-usually by date of arrival and alphabetical listing prepares letters of confirmation and promptly processes any cancellations and modifications.
Tracks future room availability on the basis of reservations, and helps develop forecasts for room revenue and occupancy. Additional duties may include preparing the list of expected arrivals for the front office, assisting in preregistration activities when appropriate, and processing advance reservation deposits.
The position handles all Club reservations including rooms, A la Carte, Athletics, Member Events, Special functions and Public Affairs.
The position is also responsible for the role of PBX, taking room service orders, communicating to housekeeping and engineering for room and public area calls and ensuring the requests have been met with follow up calls.
Knows the type of rooms the hotel has as well as their location and layout. Knows all hotel packages plans, rates and benefits. Update availability of all distribution channels like GDS, OTA and Web booking systems.
Essential Functions:
Ø Processes reservations by mail, telephone, fax or central reservation systems referral.
Ø Processes reservations from the sales office, other hotel departments, and travel agents.
Ø Enhanced PBX role
Ø Knows the type of rooms available as well as their location and layout.
Ø Knows the selling status, rates, and benefits of all packages plans.
Ø Knows the credit policy of the hotel and how to code each reservation.
Ø Determines room rates based on the selling tactics of the hotel.
Ø Logs, relays to respective dept. and follows up with guest request & maintenance log.
Ø Communicates reservation information to the front desk.
Ø Processes cancellations and modifications and promptly relays this information to the front desk.
Ø Understands the hotel’s policy on guaranteed reservations and no-shows.
Ø Processes credit cards authorizations, sponsorship forms and submits invoices.
Ø Calls to confirm non-group room reservations on high occupancy dates and follows up with room waitlist to accommodate members/guests.
Ø Responds to all inquiries as soon as possible and within 24 hours.
Ø Makes sure that reference files are kept up to date.
Ø Maintains a clean and neat appearance and work area at all times.
Ø Promotes goodwill by beings courteous, friendly, and helpful to guests, mangers, and fellow employees.
Ø Ensures that the member/guest secures whatever services they are in need of.
Ø Getting information about areas of interest in order to target more clients in particular seasons.
Ø To be aware of all front office procedures and assist with reception duties when required.
Ø To be fully aware of and adhere to health and safety, fire and bomb threat procedures.
Ø Willing to undertake any reasonable request made by management in any other areas of the house.
Ø Configuring rates on the hotels property management system.
Ø Scheduling reservation for all athletic areas including massage therapy, barbershop and all athletic member areas on the 17-22nd floor.
Ø Responsible for understanding and studying scheduled in-house upcoming functions including availability and menu options.
Ø Responsible for taking room service orders.
Ø Confirms high volume event reservations, such as Mother’s day, Easter, Thanksgiving etc.
Ø Responsible for creating Letters of Introduction for members in good standing.
Ø Reads and reviews Club Life and other club publishing’s and materials to be aware of club activities.
Qualifications and Skills:
Education: High school graduate or equivalent. Must speak, read, write, and understand the primary language used in the workplace by guests who visit the hotel.
Experience: Previous hotel-related experience desired. Experience in Hotel software and their functionalities.
Additional Skills: Considerable skill in the use of a calculator to prepare moderately complex mathematical calculations without error. Must have the ability to stand/sit for a prolonged period of time. Must have excellent communication and organization skills along with great service skills. Must be able to access and input information accurately into a moderately complicated computer system. Must be comfortable enforcing Club policies and procedures provided as well as developing resolutions that work for both guest and employer, which may be under stressful situations

Pay: $17.00 – $19.00 per hour
