Job Description : DEFINITION

Field of Competition: Open certification to establish an Eligibility List for the current and/or upcoming school year and to fill one (1) vacancy in the Communications Department at the District Office. Under the direction of the Communications Manager/Public Information Officer, the Communications Assistant performs a wide variety of tasks to support PUSD communication goals and priorities. This position relieves the administrator of details relative to clerical procedures and methods, budget preparation and control, operation or other areas of Communications department programs and operations. The Communications Assistant provides social media support; assists with posting, updating and maintaining the district’s/sites website content at a minimum; assists with Public Records Act requests; produces and edits written communications and provides entry-level media relations support. MINIMUM QUALIFICATIONS AND SPECIAL LICENSE OR LANGUAGE SKILLS

Education: Graduation from high school or evidence of equivalent educational proficiency. The completion of college level courses, or the equivalent, in personnel, public or business administration, research, statistics or accounting, and/or graduation from a four (4) year college or university is desirable. Experience: Four (4) years increasingly responsible clerical experience or two (2) years in a position comparable to Program Assistant requiring the maintenance of complex procedures involving the gathering, interpreting and analysis of data. Supervisory experience is desirable. Two (2) years of upper division studies from an accredited college may be substituted on a pro rata basis (30 semester hours being equal to one year) for up to two (2) years of the required clerical experience. SPECIAL LICENSE OR LANGUAGE SKILLS The ability to speak, read and write in both English and another language such as Spanish is required. PHYSICAL REQUIREMENTS Employees must be physically and mentally able to perform the essential duties of a position with or without reasonable accommodation and without hazard to themselves or others.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Duties of this class include, but are not limited to:

Responsible for maintaining, monitoring, and publishing content for all District social media accounts.
Gathers information to assist Communications Office administration with the preparation of news releases, public messages, marketing materials.
Assists Communications Office administration in daily contact with media to promote school and District activities.
Assists with communication needs of District employees, media, and the public.
Writes, drafts, and edits, as assigned.
Assist in the response to public and staff requests for information and maintains records.
Assists Communications Office administration in the preparation of materials and documents for public relations and marketing projects
Assists Communications Office administration in the planning and implementation of special event projects, planning and execution of news conferences and other media events.
Assists Communications Office administration with projects and routine assignments, when needed.
Assists Communications Office administration in Maintains and updates fact sheets and other information about District departments, divisions, and programs.
Researches background information for publications, materials and projects, and assists Communications Office administration with the presentation of information.
Conforms to safety standards, as prescribed.
Assists the Communications administrator by assuming responsibility for the operation and administrative details relating to communication programs and the clerical procedures of a complex area of District-wide operations.
Develops and recommends procedures for compilation, maintenance, and presentation of data and maintains data used in developing programs and the determination of policies and procedures.
Supervises installation and maintenance of complex clerical procedures, including preparation of instructions, dissemination of information and functional supervision in the implementation of procedures in support of programs.
Compiles annual budget request and supporting data, maintains control of expenditure accounts, and recommends or initiates adjustments in accounts.
Explains policies and procedures, and speaks for the administrator in person, by telephone contacts and/or at meetings.
Prepares correspondence, memoranda, reports, bulletins, worksheets, and other required materials relating to assigned communications programs or project(s)
Searches records and obtains information from other offices, schools and agencies as required to complete assigned duties and as directed.
Performs other related duties as required.

Legal requirements of the Education and Administrative Codes, and Board policies and procedures
Rules of the Human Resources Department
Administrative regulations and procedures
Budget preparation and control procedures.

Accurately type, format and edit keyboarded materials using standard computer hardware and software

Efficiently use modern office technology, equipment and applications
Interpret and explain laws, regulations and policies that are specific to communications/public information

Appointed candidate shall start at Step 1. Upon completion of 130 days probation and satisfactory evaluation, employee shall be advanced to Step 2. All other step advancement is granted each year after probationary period up to the maximum listed salary.
