Job Description : After 30 years and an initial seed capital of $30,000 from area parishes, TheResurrection Project (TRP) has grown to become a powerful and effective social enterprise that seamlessly blends community development, community organizing, and advocacy with human service delivery to create vibrant, healthier, and involved communities. Our efforts have resulted in leveraging over $431 million in community investment.
The purpose of the Administration division is to provide efficient and effective internal operations and administrative support for The Resurrection Project staff and program offices. This includes human resources, operations, technology support and office management.
Administrative Assistant will work in coordination with the COS to assist and manage the administrative demands of the CEO. The position requires administrative efficiency, judgment, passion for the mission, strong work ethic, team spirit, patience, and dedication to help manage the CEO’s immediate and longer-term objectives.
Job Responsibilities & Duties:
1. Organize and manage CEO’s calendar.2. Handle CEO’s travel arrangements and itineraries.
3. Perform necessary tasks to aid in the preparation of board and committee meetings and travel schedule.
4. Provide agenda follow up with meeting minutes to all TRP Leadership meetings.
5. Provide technological support and training for CEO (i.e. internal software, policies, etc.). Quick with adapting to new systems.
6. Perform administrative duties including managing contacts, creating spreadsheets, letters of support, filing, prepare meeting minutes, etc.
7. In coordination with the COS, assess inquiries directed to the CEO, determine the proper course of action and delegate to the appropriate individual.
8. Ensure all staff requests for the CEO are addressed properly, efficiently, and judiciously, keep track of progress until resolved.
9. Maintain a high level of professionalism among staff, leadership, and external partners.
10. Exhibits polite and professional communication via phone, e-mail, and mail.
11. Work strategically and collaboratively across all depts.12. Ability to streamline and improve processes to handle the heavy workload of the CEO.
13. Assist in planning and preparing the board of directors’ meetings, orientations, trainings, and retreats.14. Supports senior management in duties as assigned by the COS, especially as related to CEO projects.15. Ability to handle confidential information.16. Creating and editing presentations, proposals, letters, and documents in coordination with the COS.17. Interpret documents that require CEO signature.18. Act as Office Manager for the Executive Team.19. Manage expenses and time-off for CEO20. Taking on ad hoc projects as needed.
21. Must be able to be onsite 3 days a week.
Performance Measures: 1. Timely, accurate completion of assigned projects and tasks.2. Timely, accurate maintenance of CEO’s contacts, correspondence, and meeting schedule.3. Effective and supportive relationships with board members, staff, and other external partners.4. Preparing minutes for designated staff and board meetings.5. Create and manage effective tracking systems for CEO and COS.
Essential Knowledge & Skills:
1. Bachelor’s Degree preferred but not required.
2. Minimum three years of administrative assistant work experience preferably with or in nonprofit, community-based organizations.
3. Previous experience working with nonprofit boards strongly preferred.4. Ability to work under pressure and complete assignments in a timely, professional manner.5. Detail oriented and well-organized.6. Solid experience with office management systems and MS Office.7. Experience with online calendars and cloud-based systems.8. Experience using office equipment (printers, fax machines, etc.).9. Strong communication skills (via phone, email, and in-person).10. Proven experience exercising discretion and confidentiality with sensitive information.11. Excellent organizational skills with an ability to think proactively and prioritize workload.12. Advanced knowledge of Microsoft Office products, smart devices, and13. Demonstrated ability to build relationships and work effectively with people of diverse social, faith, economic and racial/ethnic backgrounds.
14. Bilingual in English/Spanish required.
Job Type: Full-time
Pay: $55,000.00 – $65,000.00 per year
