Position Description
We have a great opportunity for a multi-talented Executive Assistant to join the team and support a very dynamic Finance and Operations department. The Executive Assistant will work closely with our COO and CFO and Head of Investor Relations, as well as the rest of the Beverly Hills office and will interact with senior executives and high profile clients on a regular basis. Our ideal candidate loves being involved in all aspects of administration and would enjoy the wide range of responsibilities and challenges of working in a fast paced environment, while supporting the principals and the office.

Position Qualifications
· Provide executive administrative support to the department;
· Proactively manage professional calendars;
· Ability to work in a very demanding environment, including scheduling meetings, making travel arrangements, processing expense reports, and assisting with special projects;
· Help organize company functions, gatherings; and meetings;
· Prepare correspondence, agendas, briefing reports, presentations, and other documents;
· Greet arriving clients and provide strong customer service;
· Arrange and organize internal and external events, such as company dinners and corporate functions, answering questions and meeting requests;
· Manage meeting and event logistics, including booking and preparing rooms, creating materials, organizing catering, and taking notes;
· Coordinate all domestic and international travel logistics, including flight itineraries, hotel rates and reservations, car services, with personal travel preferences;
· Serve as liaison between the executives and external/internal clients; provides a “gatekeeper” and “gateway” role, creating win-win situations for direct access to the executive’s time;
· Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures;
· Responds to calls and texts promptly and at all times;
· Anticipates needs and is proactive with solution;
· Bachelor degree
· 3+ years’ experience working for a high level Executive that is extremely busy;
· Proficiency with Microsoft Office;
· Excellent multi-tasking skills; must be very organized, motivated, and able to take initiative;
· Ability to work as a team player;
· English proficiency; strong written and oral communication skills;
· Thick skinned and able to work through difficult situations; able to work in highly demanding environment, while being able handle varying personalities and work styles with grace and tact;
· Must have an impeccable attention to detail along;
· A quick-thinker and an adept problem-solver;
· The ability to independently, manage one’s time and prioritize multiple tasks in order to meet associated deadlines;
· The drive to take initiative, work independently, and be accountable while also working as a team player who is collaborative, positive; and flexible;
· A commitment to ethical behavior, honesty, and forthrightness.

Job Type: Full-time
Pay: $125,000.00 per year
