Ampelis (www.ampelis.org) is an organization devoted to helping individuals and families cultivate greater meaning in life. We provide coaching and culture services to organizations, families, and individuals. We also serve individuals struggling with depression, anxiety, and other mental health challenges through a network of outpatient mental wellness centers operating under the name Ampelis Health(www.ampelishealth.com).
The Executive Assistant position will split time in support of (1) the CEO in his personal affairs, and (2) the needs of the Ampelis leadership team, primarily assisting the CEO and the President. Additionally, there are some operational duties that the Executive Assistant will take ownership of.
The person in this position will play a critical role in helping the Ampelis team to delight current and prospective clients. They will become a trusted member of the Ampelis team that enables others to function at their highest points of value creation. Ampelis is a small, start-up phase organization and consequently all team members wear many different hats and must be adaptable. With that comes a unique opportunity to be creative and help shape an organization that is making significant contributions in the care of others.
The Executive Assistant will primarily work from home, with recurring and planned meetings in-person on a weekly basis.
Job Functions:
Ampelis Duties:

Personally embodies the Ampelis mission and methodology and inspires others to do the same.
Creates a world-class client experience for current and prospective Ampelis clients

(e.g., timely and concise communication, thoughtful expressions of gratitude, outreach on birthdays, etc.).

Provides administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executives’ behalf.
Manages the executives’ calendars, including making appointments, coordinating travel logistics, and prioritizing the most sensitive matters.
Maintains comprehensive and accurate records.
Performs minor accounting duties.
Organizes meetings, including scheduling, sending reminders, and organizing catering when necessary.
Takes a lead role in planning logistics for off-sites, training workshops, or other similar client events in a way that optimizes the learning experience for participants.
Manages inventory and client fulfillment (shipping) for Ampelis products, Ampelis “swag”, etc.
Facilitates new teammate onboarding paperwork and processes.
Assists in gathering hours for hourly teammates.
Performs other duties as requested by the executive team.

CEO Personal Affairs Duties:

Aids in preparing for meetings and other events for personal network.
Supports personal communication and coordination with peers, family members, other relationships, and stakeholders of other related organizations.
Assists with the facilitation and execution of personal financial transactions, documents, and other financial arrangements that require coordination.
Responds to personal emails.
Manages calendar for family and personal needs.
Drafts slides, meeting notes, and documents for personal and family initiatives.
Conducts research on individuals, families, and organizations related to personal initiatives.
Assists with social media engagement.
Performs other duties as requested by CEO and/or spouse.

Proficient in the use of personal computers and other technology.

We intend to hire one full-time teammate for this position.
Job Type: Full-time
Pay: $60,000.00 – $75,000.00 per year
