POSITION DESCRIPTION
The Executive Assistant will support the Chief Operating Officer (COO) directly as the primary driver of business momentum to progress toward critical goals. The EA will be responsible for the management and operational support of the office, assist with special projects, and provide key leverage to the COO, ensuring the highest and best use of each team member.
We seek a seasoned, personable, and professional team member, who is a critical thinker and efficient doer. The COO will depend on this person to build systems to effect organizational change and to reach strategic objectives.
Primary Responsibilities
A) Executive Management

Drive COO’s connectivity and productivity by facilitating communication with multiple stakeholders
Support the executive staff/team through development, escalation, triangulation of information and resources
Serve as an operational backbone for the executive team, clearing the path and anticipating challenges
Manage the executive’s calendar, including making appointments and prioritizing the most sensitive matters to ensure the highest and best use of COO time
Provide added leverage by identifying and completing tasks proactively
Manage and protect confidential information and keep confidentiality

B) Administrative and Clerical

Maintain accurate, easily accessed records, notes, task lists, and calendars for COO
Handle schedules and coordinate meetings, as needed
Prepare proper materials prior to meetings, manage meeting notes, and follow up on key takeaways and to-do items
Write and edit e-mails, draft memos, and prepare communications on the COO’s behalf
Organize and oversee planning for events, as needed
Work with third-party service providers and vendors, as needed
Run local errands and provide support on personal matters, as needed

C) Project, Task, and Process Management

Collaborate cross functionally to plan, organize, and execute projects from ideation to delivery and measurement
Prioritize tasks based on current activities, goals, and deadlines
Drive and manage annual plans to reach objectives and hit metrics
Manage processes across a range of initiatives and ensure quality and prompt completion
Transfer information between teams, create meeting summaries and to do’s, ensure meeting preparedness
Communicate agendas, goals, and processes to team
Oversee and be the ultimate checkpoint for coordination and logistics for the team, as needed

D) Analysis

Prepare and provide accurate reports on key metrics based on raw financial and operational data
Create/Maintain performance dashboards in multiple business areas
Independently develop written and visual analyses of information
Gather and synthesize information for review
Provide clear visualizations of information and offer insights

Qualifications

Excellent written and verbal communication skills.
Strong organizational and time management skills
Strong experience in using Microsoft Excel (calculations, graphs, tracking, financials)
Comfortable working within all Microsoft Suite products and Adobe Acrobat
Working knowledge of Microsoft Power Platform, especially Power BI preferred
Works well in a team, bringing and encouraging positive energy
Able to adapt to change
Diligent, resilient, positive, articulate, and professional
Able to produce reports, memos, and other inputs to inform critical decision-making
Able to oversee multiple projects and balance competing priorities
A proven track-record of handling sensitive and confidential matters
Enthusiasm for acquiring new competencies and new challenges
Experience and comfort with learning new online systems/software
Previous experience supporting C-level management and Executives as well as support staff
An amplifier and willing to hit the ground running and think tactically and strategically
Naturally organized, makes sure tasks are completed accurately and promptly
A passion for integrated personal health and wellness
1-3 years of experience in a dynamic, demanding environment
A bachelor’s degree (liberal arts and sciences or business)

Pay: $50,000.00 – $70,000.00 per year
