Job Description : The Executive Assistant serves the CPO and select senior leaders within the Product organization, acts as the liaison to Amobees senior management teams, organizes and coordinates executive outreach and external relations efforts, and oversees special projects. The Executive Assistant must be proactive, creative and enjoy working within an environment that is mission-driven, results driven, and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects; from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Responsibilities

CPO Support: Completes a broad variety of administrative tasks including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Plans, coordinates and ensures the CPO’s schedule is followed and respected. Provides a “gatekeeper” and “gateway” role, creating win-win situations for direct access to the Executive’s time and office. Provides a bridge for smooth communication between the CPO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management within Product and Amobee. Works closely and effectively with the CPO to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Stays one step ahead, anticipating upcoming needs and proactively handling them, creating a seamless experience for the Executive Acts as a “barometer,” having a sense for the issues taking place in the environment. Provides leadership to build relationships crucial to the success of the organization, and manages a variety of business projects for the CPO, some of which may have organizational impact. Successfully completes critical aspects of deliverables with a hands-on approach Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Edits and completes first drafts for written communications to external stakeholders. Acts as a liaison for the CPO’s direct reports Participates as an adjunct member of the CPO and Product leadership team including assisting in scheduling meetings and attending some meetings and taking minutes, as needed. Assists in coordinating the agenda, and sometimes drives, team meetings, off-sites, and all-hands meetings. Participates in planning external client events and executive offsites. Proactively coordinates and engages with leadership in planning and organizing events, activities and calendars. Is available for high priority needs and last-minute changes; accommodating off-hour requests and time zone needs for the CPO. Tracks and helps drive the completion of key deliverables; follows up on outstanding items. Quickly develops an understanding of the team’s operations, culture, policies and procedures. Provides occasional backup support or coverage for the Product Operations team.

Required Qualifications

5+ years of experience supporting company leaders Experience and interest in internal and external communications, and partnership development Available beyond local business hours and on weekends to accommodate the CPO’s needs and global time zones Advanced G-Suite skills including Calendar, Sheets and Slides Analytical skills and demonstrated ability to improve processes; strong intellectual curiosity Ability to prioritize and handle multiple assignments at any given time High levels of integrity and discretion Attention-to-detail Highly motivated, organized and able to work effectively with minimal supervision Strong organizational, communication and interpersonal skillsExperience designing processes to maximize efficiency
