What you will do:
Coordinate daily calendars of senior managers
File all kind of necessary paperwork
Handle minor procurement tasks
Dealing with incoming email, calls, and post, often corresponding on behalf of the manager;
Carrying out background research and presenting findings;
Design, update and track project budgets
Plan appointments and events
Attend meetings with top executives and clients
Act as the point of contact between executives and employees and clients
Create regular reports and update internal databases
Make travel arrangements
Manage phone calls and emails
Respond promptly to managers’ queries
Facilitate internal communication (e.g. distribute information and organize activities)
Suggest more efficient ways to run the office and troubleshoot malfunctions
What you need to have:
Experience as an Executive Assistant or at a similar role
Excellent writing and speaking skills in English
Strong communication skills (via phone, email and in-person)
High level of responsibility and self-management
Time management skills
Prioritization skills
Follow-up skills
Knowledge of office procedures and equipment
Solid experience with office management systems and CRMs.
Experience with Google sheets, docs & slides is a plus
Experience with online calendars and cloud systems
Experience exercising discretion and confidentiality with sensitive company information
Excellent organizational skills with an ability to think proactively and prioritize work
