Job Description : Job Purpose: Provide comprehensive administration support for the Shared Services department activities, delivering a high quality, timely, customer focussed response to customers’ queries and requests. Ensure that information, actions, and assistance comply with company policy, standards and procedures and where applicable, Government department requirements. Job Outline: – Provide a high quality customer focussed response service to internal and external customers’ queries and requests, actioning transactions and queries made through all appropriate channels, in a timely manner, in line with policy and process guidelines. – Plan, oversee and coordinate a wide range of monetary, non-monetary and other administrative services, providing the best customer service to new joiners, employees, line departments and HR. Maintain confidentiality of information. – Resolve issues arising from the queries and complaints of customers, staff and stakeholders on policy, documentation, visa processing and systems related issues while meeting Service level agreements and standards and following up as appropriate. – Provide or coordinate all relevant administration documentation ensuring that correct policy, standards and procedures are being applied and adhered to. Ensure relevant information is communicated to the required stakeholders and other sections. Maintain a prompt system for acceptance and delivery of administration documents. – Ensure that all daily/ monthly transactional activities are executed within the stipulated time frames, according to SLAs and company policies, with accurate system entry. – Provide accurate system generated reports according to customer/department requirements. Identify process/system related issues for continuous improvement, ensuring admin systems are utilised effectively to collate, analyse and retrieve data. – Co-ordinate with new or current employees to process important documents including visas, airport passes, employment contracts. Maintain an accurate record and secure handling procedures to ensure the safety of documentation. – Conduct briefings to individuals or groups as part of on-boarding or post joining formalities or where training on HR systems is required. – According to requirements, provide timely response and support to employee emergencies.
Qualifications & Experience: Human Resources.Other : 12 Years schooling or equivalent : A minimum of 4 years experience in a relevant role. Supervisory experience is preferable. Knowledge/skills: Thorough knowledge and understanding of computer applications relevant to the role.
