Job Description : JOB DESCRIPTION OFFICE ASSISTANT (part time) Reviewed February 2022 GENERAL STATEMENT OF DUTIES: Responsible for performing routine clerical and administrative work in answering phones, receiving the public, providing customer assistance, cashiering, data processing, and some phases of bookkeeping.SUPERVISION RECEIVED: The District Office Assistant works under the direct supervision of the Office Administrator.ESSENTIAL FUNCTIONS: The essential functions of an Office Assistant include, but are not limited to, the following duties and responsibilities, which are listed in no particular order of importance or significance:1. Assists the Office Administrator with organizing and coordinating the administrative and business office functions of the District per requirements of the Fire Chief, State Statutes, District Policies and/or StandardOperating Procedures.2. Provide clerical support as necessary to the stations, personnel and volunteers as directed by the OfficeAdministrator.3. Assist in the clerical preparation of the budget, final draft, including all related materials.4. Attends Board meetings to take written minutes of the meeting and to record Board meeting proceedings as directed by the Office Administrator.5. May be asked to compile and compute information for a variety of reports and/or documents as necessary.6. May be asked to assist staff with the preparation of District correspondence and community letters under the direction of the Office Administrator.7. Responsible for answering incoming District calls, responding to requests, taking messages and routing calls to the appropriate person.8. May be asked to aid with the maintenance of Fire-Med records, accounts receivable and billing information as well as membership listings, available for questions and answers regarding Fire-Med coverage and sign- ups.9. All other duties as requested by the Office Administrator.JOB SPECIFICATIONS: The Office Assistant is a part-time position reporting directly to the Office Administrator. Performance reviews will be conducted on an annual basis by the Office Administrator.1. Any combination of education, training, or experience that provides the required knowledge, skills and abilities to perform essential functions.2. Knowledge of basic report writing and business communication.3. Ability to work independently and use discretion in performance of duties within District policy and procedural guidelines.4. Ability to prepare reports and maintain accurate records.5. Ability to effectively communicate in English, both orally and in writing, as needed for the functions of the job.6. Ability to perform those physical activities required for essential functions.7. Handle sensitive information in a confidential manner.DESIRED MINIMUM QUALIFICATIONS: 1. Education and ExperienceGraduation from a high school or GED equivalent with specialized coursework in general office practices such as typing, filing, accounting.Two (2) years of increasingly responsible related experience, or equivalent combination of related education and experience.2. Necessary knowledge, skills and abilities:Page 1* of 2*Working knowledge of computers and electronic data processing software to include word processing, spreadsheets, databases, e-mail and calendar development programs.Working knowledge of modern office practices and procedures.Ability to perform cashier duties with the public.Ability to effectively meet and deal with the public.Ability to communicate effectively verbally and in writing.Ability to handle stressful situations.SPECIAL REQUIREMENTS: 1.
