Job Description : GENERAL SUMMARY: The Layton Office Manager is responsible for the successful day to day operations of a fast-paced, 24 hour/7 days a week pediatric office.
Staffing

Determine staffing needs and partner with Human Resources to manage needs.
Oversee supervisors in the hiring, managing, scheduling, and development of staff. Appropriately notifies and engages Human Resources.
Create and maintain a positive and motivating work environment, where people can feel successful in their contributions.
Regularly evaluates direct reports performance and provides ongoing mentoring and development.
Working with direct reports, develop and maintain quality expectations and programs, offering ongoing improvements.
Evaluate and recommend performance-based pay increases.
Respond to last minute provider schedule changes.

Operations

Maintain a working knowledge of all systems used: computer, phones, testing, etc. Provides staff with appropriate updates and training on changes.
Manages patient complaints for Layton based employees.
Collaborate with Director of Operations to operate within budgets: understanding FTE, operating expenses, and revenue.
Acts as the liaison between staff, providers and Wee Care leadership.
Working with the Director of Operations, develop and implement strategic plans to facilitate clinic growth as opportunities are presented.
Manage external relationships with vendors and community affiliations.
Takes responsibility for utilizing, improving, and developing own professional skills.
Performs other duties as assigned.

Compliance

Maintain policies and procedures, ensuring appropriate changes are made in a timely manner. Responsible for communicating and implementing changes within clinic. Works with other clinic managers to
Ensure compliance with all regulations including but not limited to: HIPAA, CLIA, OSHA, Medicaid, Commercial Insurance Carriers, and VFC.
Completes required reporting in a timely manner.

Facilities

Oversee and coordinate purchases of office, medical, pharmaceutical, and laboratory supplies; and manage inventories of each.
Manage relationship with vendors, ensuring agreed upon standards are being met. (cleaning, pest control, etc.)
Evaluate and request any maintenance work on facility. Request purchase of equipment as appropriate.
Ensure clinic meets compliance and risk standards as they pertain to cleanliness, hazards, and employee and patient safety.

TYPICAL WORK ENVIRONMENT: Work is performed in a fast-paced medical office setting and involves sitting, standing, or walking for extensive periods of time. Work may require full range of body motion including handling and lifting patients, manual and finger dexterity and hand-eye coordination. Work
may require stooping, bending and stretching for files and supplies, and may occasionally require lifting and carrying items weighing up to 50 pounds. Requires corrected vision and hearing to normal range. Work may involve exposure to communicable diseases and body fluids in an environment where OSHA standards are upheld. Position may require local travel.
EDUCATION/EXPERIENCE:
Minimum of two years Management and pediatric or family practice experience preferred.
Bachelor’s degree preferred.
