Position : Office/Personal Assistant

Job Description : Looking for a Personal/Office Assistant who will go between the office and the owners home (there are two owners you will be working for). The duties of the role may vary and fluctuate based on the needs of both the house and office.
The role will interface internally with other staff members – such as housekeepers, assistants, external vendors, and office staff.
Experience is a must.
Required Skills & Traits:

Must be Mac/Windows proficient (iPhone, iPad, computers) & overall technologically savvy
Flexibility and ability to adjust to a last-minute change of plans
Ability to manage time well, take direction, and complete tasks with minimal oversight
Resourceful
Organized and detail-oriented
Able to multi-task

Responsibilities for the house:

Manage the Owners schedules
Make appointments as directed (ex. medical, etc.)
Purchase personal items, run errands, online shopping & returns
Research different options based on specifications and provide recommendations (restaurants, shows, gift ideas, etc.)
Follow up with medical appointments; order vitamins and medications
Keep track of gifting, wrapping & shipping, etc.
Maintain calendar (iCal) and coordinate with office calendar
Keep contacts up to date
Assist with coordinating domestic & international travel: flights, hotels/houses, car services.
Set and prep meetings including Zoom, Google, and more
Coordination of charitable endeavors/events and tracking/reporting all contributions
Receive and send verbal and written communications – must have strong verbal and written communication skills
Supervise multiple housekeepers and schedules (keep track of house staff vacations, sick days, etc.)
Order food deliveries and/or groceries as needed
Coordinate events & guests
Address repairs and maintenance as needed
Keep stock of household supplies
Oversee renovations/alterations with owner
Coordinate deliveries

Responsibilities as an Office Assistant:

Reports to the office each morning to receive daily tasks from Operations Mgr
Assist with administrative tasks such as filing, picking up lunches, etc.
Assist front office with phones as needed
Shipping out retail products
Running office errands (Bank, post office, etc.).

Hours: Mon-Fri 8 am to 4 pm or 9 am to 5 pm, with the flexibility to stay late as needed.
Job Type: Full-time
Pay: From $22.00 per hour
